Health Quality Council of Alberta
Health Quality Alberta is a provincial agency that brings together patients, families, and our partners from across healthcare and academia to inspire improvement in patient safety, person-centred care, and health service quality. We assess and study the healthcare system, identify effective practices, and engage with Albertans to learn about their experiences. Our responsibilities are outlined in the Health Quality Council of Alberta Act.

Health Quality Alberta is partnering with Primary Care Alberta (PCA) to host the first-of-its-kind Primary Care Summit in Alberta. We are seeking proposals from qualified event management companies to plan, coordinate, and execute this provincial-level, high-profile healthcare event.

Project description
Alberta’s primary care system is undergoing significant transformation, including:
•        The establishment of Primary Care Alberta
•        Evolution of Primary Care Networks
•        A system wide shift toward team based care and integrated models of care
•        Transition from strategy development to implementation of MAPS priorities
There is an opportunity to host a conference designed to support system alignment, practical implementation, and shared accountability across the full primary care ecosystem.
We will bring together healthcare providers, administrators, policymakers, patient advisors, and system leaders to share best practices, innovations, and strategies to improve healthcare quality across Alberta.

Event Overview
Proposed details:
Dates: February 26–28, 2027
Location: Edmonton Exposition and Conference Centre
Format: Multi day, primarily in person, with selective virtual participation
Attendance: Approximately 600 participants

Project deliverables
The selected vendor will be responsible for end-to-end full-service event management, including but not limited to:

Event planning and project management
•        Develop and manage detailed project plan and timelines to execute event on Feb. 26-28
•        Coordinate with internal (Health Quality Alberta and PCA) and external partners
Provide regular status updates
Program Development Support
Working closely with the project leads and program advisory committee:
•        Support agenda development and speaker coordination
•        Organize social events and participant activities
•        Manage abstract submissions
•        Coordinate keynote and panel logistics

Venue and logistics
The Edmonton Exposition Centre is booked. The vendor will be responsible for:
•        Overseeing contract adherence
•        Audio-visual production and technical support
•        Catering coordination
•        Décor (e.g., tablecloths, etc.)
•        On-site logistics and staffing
•        Supporting accommodation requests and booking

Registration and attendee management
•        Develop and manage registration platform
•        Handle all participant communications
•        Provide on-site registration support
•        Track attendance and reporting

Sponsorship and exhibitor management
Work alongside project team to determine an appropriate strategy for sponsorship and then:
•        Manage the development and distribution of sponsorship packages
•        Manage communication of exhibitor opportunities and coordinate all related logistics
•        Manage all on-site and/or virtual sponsor opportunities, including set-up, day-of support, etc.

Communications and marketing
•        Establish an online portal for all relevant Summit materials
•        Support communications project lead in developing promotional materials and marketing the conference to target audiences
•        Support digital communications (email, social media, website updates)
•        Support day-of communications (e.g., real-time social media posts)
•        Support after-event communication (e.g., thank you email, survey evaluation, etc.)

Equity, Diversity, and Inclusion
•        Ensure accessibility and inclusivity (e.g., language, cultural safety, accessibility standards)
•        Incorporate patient and family engagement and Indigenous perspectives meaningfully

Evaluation and Reporting
•        Develop evaluation framework
•        Collect and analyze attendee feedback
•        Provide post-event report with insights and recommendations
