Description

The U.S. Embassy Copenhagen has a requirement for a firm to replace and furnish existing residential windows at one of its government-owned (GO) residences located in the Greater Copenhagen area.





The construction effort is estimated to be in the range between USD 25,000 and USD 100,000. If you would like to submit a proposal, follow the instructions in Section J of the solicitation, complete the required portions of the attached document, and submit it to the address shown on the Standard Form that follows this letter.





The U.S. Government intends to award a contract to the responsible company submitting an acceptable offer at the lowest price. We intend to award a contract based on initial proposals, without holding discussions, although we may hold discussions with companies in the competitive range.





Please pay attention to a crucial requirement outlined in the DOSAR 652.242-73. This requirement mandates that all vendors possess the necessary licenses and permits to conduct business in Denmark. It is essential to ensure compliance with all Danish regulations and legalities to operate successfully in the country. Specifically, the Danish Tax authorities expect businesses to obtain a CVR number and fulfill tax obligations. You should review local laws before submitting a proposal.





The Embassy intends to conduct a pre-proposal conference and site visit on June 12, 2025, at 13:00 (local time) at the site where the work is to be performed (address to be provided upon written request). All prospective offerors are invited to attend.

For the pre-proposal conference and site-visit registration please provide by e-mail your company contact information and names of visitors no later than 09:00 (local time) June 11, 2025, to CopenhagenContracts@state.gov with the subject line “19DA2025R0001 Residential Window Replacements X17017”.





Proposals are due by June 26, 2025, at 13:00 (local time). No proposals will be accepted after this time. Proposals must be in English. Incomplete proposals will not be accepted.





Proposals must be submitted in a sealed envelope marked “Proposal Enclosed for 19DA2025R0001, Residential Window Replacements X17017”. Each proposal should consist of two (2) volumes, as noted in Section J.





Upon submittal of proposals, material samples should also be provided at no-cost for windows and related components for use in this project. The samples will be returned to the offeror at the end of the evaluation process.





Please also provide an electronic copy of your proposal in two (2) volumes (as noted in section J) with the subject line “19DA2025R0001 Residential Window Replacements X17017” to CopenhagenContracts@state.gov.





It is important to make sure the electronic submission is made in specific size and format; in MSWord 2007/2010 or MS-Excel 2007/2010 or Adobe Acrobat (pdf) file format. The file size must not exceed 30MB. If the file size should exceed the 30MB, the submission must be made in separate files and attached to separate emails with less than 30MB each.

Offerors shall be registered in the SAM (System for Award Management) database at https://www.sam.gov prior to submittal of their offer/proposal as prescribed under FAR 4.1102. Failure to be registered at time of proposal submission may deem the offeror’s proposal to be considered non-responsible and no further consideration will be given. Therefore, offerors are highly encouraged to register immediately if they are interested in submitting a response to this requirement.
