Description

This solicitation is to provide the following functions rooms and services for an event for period of May 4-8, 2026 The provider should be at least five-star hotel in BANDUNG.



The bidders must be the hotel chain companies with the offices operating and base in Indonesia.



The bidders must have an established business with a permanent address and telephone listing in Indonesia.



For a Quotation above 30,000 USD, Quoters must have an active registration status in the System for Award Management (SAM) prior to submission.

Purpose / Description of Event



This event is a roundtable conducted for Indonesian investigators, prosecutors and judges, involving 57 participants (including trainers) from various agencies in Indonesia attending in response to an invitation by the DOJ OPDAT Jakarta program.



Period of Performance




  • Event date(s): May 4, 2026 through May 8, 2026 (full-day meeting)

  • Event duration: 10 hours per day (8am to 6pm)



Location / Venue Requirements




  • Preferred location: (Bandung, West Java, Indonesia)

  • Venue should be a 5-star hotel with international chain

  • Venue should be easily accessible and provide adequate security and emergency exits.

  • Meeting venue and accommodation should be in the same building

  • There should be no construction taking place at the time of the program



Function Room Requirements




  • 1 main meeting/function room suitable for approximately 57 participants.

  • Room must be able to accommodate equipment and allow free movement of participants and equipment.

  • Seating arrangement:

    • Roundtable: 55 seats, 1 head table with 4 seats for speakers, 1 table with 3 seats for operators.



  • Registration desk at the entrance with 2 stacking chairs.

  • Conference room must have no pillars inside

  • Conference room must have adequate space for a 2x2m interpretation booth





Equipment Requirements



Venue must provide the following as part of the meeting package at no cost




  • Audio-visual (AV) system

  • 1 projector with standard VGA/HDMI

  • 1 Screen

  • 1 podium

  • 6 microphones (lapel/wireless)

  • 5 Flip chart stands (with 10 sheets of papers per day)

  • Portable electrical sockets for each table

  • Basic Wi-Fi internet connection for all participants

  • Delegate amenities for participants

  • Free flow water for participants during the conference

  • Basic microphone system, including connecting cable from sound system to laptop and transmitter.

  • Banquet attendant, IT support, and Engineer staff should be available at our disposal during the conference for any technical issues or assistance.





Food and Beverage Requirements



For 57 participants, the venue must provide:





(a) One Coffee Break (two times a day)




  • Hot coffee and tea

  • Minimum 3 types of snacks (mix of sweet and savory)





(b) One Lunch (Buffet Style)




  • Conference dinner buffet to be in a dine-in setting hosted at a cordoned off area in a restaurant at the hotel with the menu being either Asian, Western or mix

  • Free flow drinking water during lunch

  • Special dietary requirements: [Halal / no pork no lard]

  • On-site technical support during event hours

  • Signage or event direction boards

  • The hotel should have a business center service for printing and courier services upon request only. Business center to be charged based on actual cost, not to exceed Rp. 500,000.
