MediaValet DAM renewal

Empire State University intends to purchase a 1-year subscription renewal of the MediaValet Digital Asset Management (DAM) system. This cloud-based software helps the University manage, secure and share high-value digital brand assets (photos, videos, graphics, text documents, etc.) and makes the content accessible to multiple campus offices and includes the following specifications:

• Offer SSO sign in for system access.
• Batch-edit metadata.
• Provide a hosted distributed storage system. The system must be able to ingest files from multiple storage types (cloud, local server, disk drives).
• Create collections and assign permissions at collection or item level. Granular rights/access management for restricted-use material by user group and by item. Role-based access for individuals working in the DAM.
• Ability to search items/collections by indexed metadata fields.
• Ability to search text.
• Inline media players for video (mp4), and audio (mp3); universal viewer for still images (.jpg).
• Ability to search text within images. Smart search capabilities. AI searching.
• Ability to share external facing galleries with the public. Ability to control how galleries are shared with permissions, passwords, etc. It would be nice to have options with sharing.
• Offer easy formatting for social media creative use.
• Offer easy downloads.
• In accordance with ADA Title II regulations (as of 2026), the platform should be keyboard accessible.
• Preferred vendors will also be able to provide that their service meets or exceeds the accessibility standard of WCAG 2.2 Level AA compliance.

SUNY Empire intends to make an award under our discretionary authority, pursuant to NYS Education Law §355(5)(a), for the above-noted service. A sealed bid will not be held.
