An updated was issued to the Integrated Security Systems RFP to provide additional
clarification regarding supporting documentation, proposal development expectations,
and frequently asked questions received to date.
Section 8 has been updated to formally state that the City may provide limited existing
documentation, including floor plans where available, for reference purposes only.
These materials may not reflect current layouts, renovations, infrastructure conditions,
or field conditions, and the City does not guarantee the accuracy or completeness of
any reference documentation. Proposers remain responsible for field verification and
final system design.
A supporting documentation link has been added to Section 8 where applicable
materials will be made available for vendor review. At this time, no additional
documentation beyond what is posted through that link will be distributed.
Onsite visits will not occur prior to proposal submission. Following proposal submission,
the City intends to schedule a group vendor facility walkthrough for all submissions. This
walkthrough will allow vendors to validate field conditions prior to any best and final
proposal phase.

Q: Are vendors allowed to bid in only one category?
A: Yes. Vendors may submit proposals for the full scope or individual categories. The
City may award one or multiple contracts and may separate or combine scopes in the
Citys best interest.
Q: Do you have complete floor plans, site maps, door schedules, device
inventories, or cable pathway documentation?
A: The City may provide limited documentation through the supporting documentation
link. The City does not currently maintain complete inventories or mapping for all
facilities. Limited floor plans may be available but may not reflect current conditions.
Vendors must perform field verification during the walkthrough phase.
Q: Are there documented current camera locations and cable pathways?
A: Limited historical information may be available in supporting documentation. The City
is seeking vendor recommended placement based on current and future operational
needs and is not necessarily seeking to reuse existing camera locations.
Q: How many cameras are expected per facility?
A: Exact counts are not prescribed. Approximate counts may be provided for reference

only where available. Vendors should propose scalable solutions based on operational
needs.
Q: Do you have detailed door and hardware inventories?
A: The City does not maintain a complete door by door hardware inventory. Vendors
should propose solutions based on available documentation and validate conditions
during the walkthrough phase.
Q: What credential types or access control standards are required?
A: The City is evaluating modernization of all systems and is open to vendor
recommendations. Solutions should support role based access, visitor management
options, and emergency control capabilities.
Q: Are there requirements for cameras, analytics, or storage models?
A: The City is open to vendor recommended solutions. Cloud, on premises, or hybrid
storage models may be proposed. Analytics and monitoring capabilities should align
with operational needs and applicable regulations.
Q: Are centralized monitoring workstations required?
A: If centralized monitoring is part of the proposed solution model, vendors should
include it in their proposal.
Q: Do you have gate, yard, or perimeter maps and device inventories?
A: Detailed mapping is not available at this time. Vendors should propose scalable
solutions based on available documentation and validate during walkthrough.
Q: What are the network and infrastructure requirements?
A: Vendors should identify any required infrastructure upgrades in their proposal. The
City will coordinate with IT during final implementation planning.
Q: Is there an established project budget?
A: Final project budget will be determined following evaluation and Council
consideration of the recommended award.
Q: How should pricing be presented?
A: Pricing must follow the Cost Submission Template included in the RFP. Vendors
should provide itemized pricing, unit pricing where applicable, and clearly identify
modular or optional components.
Q: Are site walks required prior to proposal submission?
A: No. Site walkthroughs will occur after proposal submission as a group session for all
vendors.
