Pre-Bid Meeting: .1        Mandatory Site Meeting
.1        Suppliers are required to attend a mandatory site meeting to familiarize themselves with the Project and ascertain the full extent of the Work required.
.2        The mandatory site meeting will take place at 1:00 PM local time on April 30, 2026 at the end of Casebridge Court, Toronto. Site meeting will not be available at any other times.
.3        Suppliers must sign the attendance sheet at the mandatory site meeting during the designated date and time for their Bid to be considered.
.4        Site meetings will not be available at any other time than the one specified above. In the event of poor weather, emergencies, or site closures, the City will notify Suppliers of any changes or cancellations via addenda through Ariba.
.5        Bids submitted by Suppliers that do not attend the mandatory site meeting or fail to sign the attendance sheet shall be declared non-compliant.
.6        A record of relevant questions and answers from the Site Meeting will be issued as an Addenda. The City reserves the right not to answer questions at the Site Meeting; any remarks and explanations will not supersede the terms of the RFT or specifications, unless posted in writing via addendum. All questions must be submitted through the Ariba procurement system.
.7        Suppliers and any Subcontractors attending the site meeting, must notify the Procurement Contact through the SAP Ariba message board no later than April 29, 2026 at 12:00PM (Noon) and provide the following information:
.1        Name(s) of attendees
.2        Name of company
.9 No statement or information provided in such meeting by either the City
or the Suppliers will amend any provision of this RFT or the Contract, or
may be relied upon by a Supplier in the RFT process or its Bid, except
and to the extent such statement or information is later confirmed
through the issuance of an Addendum.
