Microsoft License Renewal

GENERAL: Olathe Public Schools USD #233 (or the "District") is soliciting bids for MICROSOFT LICENSING RENEWAL. Bidders (also herein referred to as "Contractors") will execute and submit all bids in accordance with the attached Instructions and Terms & Conditions.

SCOPE: The District is seeking to renew its annual licensing for the software applications listed in the Line Items section of this RFB. No substitutions will be accepted. Adjustments made to licenses during an annual true-up exercise, to be held prior to the anniversary date, will be reflected in the subsequent term. Pricing will be based on the original price offered in this solicitation response. Necessary adjustments will be co-termed to the agreement. Additions of product not listed in this RFB will be added to the agreement, at the current fair market rate for EES agreements, co-termed and held for the remainder of the agreement.
The term for this annual licensing agreement will be 3 years; payment made annually. A Purchase Order will be issued annually prior to the anniversary date and terms will be Net 30 once an invoice is received AFTER PO issuance.
Bidders shall certify that they are a Certified Large Account Reseller (LAR) of Microsoft and are duly authorized to supply Microsoft products under the Enrollement for Education Solutions of Microsoft. A copy of the necessary Certification from Microsoft shall be included with the bid response.

Bidders may attach their own official quote document to provide context and/or clarity to the full scope of the licensing offered as well as any value added resources which may be available.

PRICING: Pricing will be entered as a unit cost for each product listed in the Package Items area under the Bid Line Items section of the RFB. The system will calculate the total cost for each product based on the unit price entered, multiplied by the quantity requested, for each respective product. That will generate a lump sum total that will be considered the annual cost to purchase the licenses specified.

TERM OF AGREEMENT: The initial term of the Agreement shall commence upon the date of execution by the District. The term of the Agreement will be three (3) years.

AWARD TIMELINE: The District intends to bring the award recommendation to our November Board of Education meeting. That meeting will take place on November 5th, 2026.
