Cambridge Labs – Thermo Fisher Scientific Equipment Maintenance Plan

  1. Purpose:
    1. The Cambridge Lab analyzes samples provided by the Division of Oil & Gas Resources Management & The Division of Mineral Resources Management. This contract will provide maintenance for FY2025 on the Thermo Fisher Scientific S2P Pro UV/UF 16LP.
  1. Reasoning:
    1. The maintenance contract is needed to repair and maintain the existing Thermo Fisher Scientific S2P Pro UV/UF 16LP equipment and associated components at the Cambridge Laboratory used to perform analysis for mining and oil & gas operations. Analysis performed by the Cambridge Laboratory ensures the protection of natural resources and citizens within the State of Ohio. If the maintenance contract is not in place for these systems at the laboratory facility, the cost to repair the needed equipment includes time of travel, labor, and parts at a cost much higher than what is included in the maintenance contract. This maintenance contract is needed to keep the equipment in proper working order for the needed analysis. The maintenance contract also eliminates unneeded downtime for analysis due to priority listing with such maintenance contracts. If maintenance is performed by another vendor other than the manufacturer of the equipment, warranties can be voided and the maintenance may not be properly performed, leading to equipment failures and improper analysis.
    2. The Cambridge Laboratory has always maintained equipment with the use of maintenance contracts. The vendor who maintains the equipment has service engineers who are properly trained in the repair and maintenance of the equipment. Once a year, the service engineer performs a preventative maintenance visit to keep the equipment in proper working order. This preventative maintenance visit is included in our maintenance contract. The cost of the maintenance contract is more cost effective than performing the maintenance as needed. Laboratory personnel are not trained in the detailed maintenance of the equipment. Vendor must be authorized by Thermo Fisher Scientific to perform maintenance on their equipment.
  1. Requirements:
    1. Vendor must be approved by Thermo Fisher Scientific to complete services on equipment
    2. Vendor must bid on all items listed
    3. Formal quote and copies of Terms & Conditions should be submitted with bid.
    4. All specific Standard Terms & Conditions and Service Terms and Conditions will be reviewed by ODNR Legal Staff. Changes or redlines must be mutually agreed to in writing.

  1. Metrohm Automated Titration System Specifications & Maintenance Requirements:
    1. Specifications:
      1. Maintenance Contract will run from July 1 st 2025 through June 30 th 2026.
      2. Contractor must be authorized by Thermo Fisher Scientific to complete maintenance and repairs on Thermo Fisher Scientific S2P Pro UV/UF 16LP.
      3. Maintenance package should be Package Type TC (Total Care Z148) with the following items included.
        1. Unlimited engineer labor, travel, and factory-certified replacement parts required for corrective maintenance.
        2. 2 business day response time for corrective maintenance in defined zone
1 cities.
        1. One scheduled preventative maintenance visit including PM kit.
        2. Unlimited priority access to our OEM-trained technical support experts
who can diagnose, investigate, and remotely resolve issues or schedule
on-site visits using the latest remote support tools.
        1. Access to our on-line service knowledgebase.
        2. Corrective Maintenance Repair Guarantee for the duration of product
warranty or 1 year whichever is longer.
        1. Loaner instrument (if applicable) included for the duration of the repair
based on availability.
        1. Instrument Software/Firmware updates included as needed to support a
preventative maintenance or corrective maintenance visit.
        1. 10% discount on calibration and qualification services.
