6) Proposal Contents

Commodity For Which Bid is Being Requested:
Pitt County Schools ("PCS") is seeking a proposal to obtain via purchase; hardware and software to
replace existing Data Center HCI Hardware Equipment.
A quote (A) for a Single Cluster HCI Hardware Solution w/ Scale Computing Hypervisor
A quote (B) for a Dual Cluster HCI Hardware Solution w/ Nutanix Hypervisor
A quote (C) for Virtualization,Migration,and Installation Services for all hardware and software
A quote (D) for Extended Warranty Support for all hardware and software
Vendors may submit proposals for Option (A), Option (B), or both . Submission of both options is not
required. Options (C) and (D) should be proposed in conjunction with either or both hardware
options.

NOTICE TO BIDDERS
Sealed bids, subject to the conditions made a part hereof, will be received at this office (1717
West Fifth Street, Greenville, NC 27834) until 2:00 p.m . on the day of opening and then
opened, for furnishing and delivering the commodity as described herein. Refer to page 3 for
proper mailing instructions. Refer to page 4 for instructions on how to access the bid tabulation
on the North Carolina Department of Administration (NCDOA) website.
Bids submitted via telegraph, fax machine, telephone, and electronic means, including but not
limited to e-mail, in response to this Invitation for Bids will not be acceptable.
Bids are subject to rejection unless submitted on this form.

II. OVERVIEW
Pitt County Schools ("PCS") is seeking a proposal to obtain via purchase a Data Center
Hyperconverged Infrastructure (HCI) solution that contains hardware, software and support
services. Proposals should meet or exceed the specifications provided herein and may include
one or more of the following components:
A quote (A) for a Single Cluster HCI Hardware Solution w/ Scale Computing Hypervisor
A quote (B) for a Dual Cluster HCI Hardware Solution w/ Nutanix Hypervisor
A quote (C) for Virtualization,Migration,and Installation Services for all hardware and
software
A quote (D) for Extended Warranty Support for all hardware and software

PCS profile of an HCI is as follows:
Is a single vendor solution; managed by a single piece of software/application
Consists of a single pane / thin management console application. Storage, CPU, and
Virtual Machines (VMs) are all managed by that same application

upon the resources needed

Installation Services
Successful Bidder must provide all parts,supplies,materials,installation and configuration of the
HCI system. Remote installations shall be permitted. PCS technology staff can assist with
providing rack space,cabling, and other physical requirements. Vendor is responsible for the
supplies,materials,installation,and configuration of the system.
Successful Bidder will setup and configure system and clusters to an optimized and
operation state
Successful Bidder will configure, and optimize any other hardware and software
components included in the system to ensure operational sate
Successful Bidder will create or provide system documentation for PCS in Microsoft
Word/Excel or Adobe PDF formats. Documentation should include:
Major Components with IP Addresses
System Administrator Accounts
System Diagrams specific to the PCS environment
Training documentation. Documentation at a minimum should include:
Proper Start-up and Shut down procedures
Creating Virtual Machines (VMs)
Adjusting VM Storage and RAM Allocations
Migration Services
Successful Bidder must provide migration services from the existing PCS environment.
Successful Bidder will setup, configure, and test backup and snapshot system
Successful Bidder will setup, configure and test live migration capabilities
Successful Bidder will assist PCS with a migration from existing VMWare environment to
the proposed solution
Successful Bidder will migrate for PCS 20 specific Virtual Machines that are
considered critical for infrastructure . These virtual machines will be using up to but
less than 5TB of data .
D. Warranty and Maintenance
PCS requires extended hardware warranty support. Full details of warranty and maintenance
coverage is required in proposals. Proposals must include:
A complete and full description of terms and conditions of warranty coverage for
hardware.
Warranty coverage must include
All server components (CPU, RAM, Storage, NICs, PSU and Fans)
Hardware firmware and BIOS support
Extended warranty coverage for all proposed equipment through August 2031 (.
Successful Bidder must provide Return Material Authorization "RMA" replacement
services for covered hardware, including advanced replacement where available
Successful Bidder provides system health checks annually or semi-annually. Health
checks provide reviews of:
