RFP# 26-02 Technology

The New Albany School District has a budget in mind for this project. As a result, if the project

exceeds the district's budget, we reserve the right to reduce or eliminate any line item and/or

line item’s quantity to remain within our budget as well as our budget provided by USAC.

All vendor questions and customer answers will be added to the bottom of a Google Document

If a vendor does not receive a response within 24 hours, it is the responsibility of the

vendor to call Jake Miller at 662-534-1832 and confirm that the email message was

received.

Bid Requirements:

● Bids for the following equipment required.

● Bidders must bid on either all of this RFP or nothing. They cannot bid on pieces.

● Quotes or Proposals Emailed/Faxed in will not be accepted.

● Total Amounts on Submitted Proposal Must Include Shipping.

● The winning Vendor agrees they will provide a contract for this purchase within 1 week

after the Reverse Auction Date (2-11-2026).

● The winning Vendor agrees to add a statement in the contract that the New Albany

School District reserves the right to null and void the contract and will not be held

financially responsible in the event that the Vendor/Supplier is unable to physically

supply the School District with equipment and subscriptions being bid on within the

2026-2027 School Year (July 1, 2026 - June 30, 2027).

● Sealed Mailed-In or Hand-In Proposals must also include equipment and subscription

information and specifications.

● Vendors attending the Reverse Auction to submit their proposal must submit equipment

and subscription information and specifications after the Reverse Auction Closes and

before 2-11-2026 2:00 PM.

The New Albany School District is seeking quotes for the following:

● Qty. 155 - 5 Year Wireless AP Management Subscriptions (Ruckus One

Cloud Essentials or equivalent) compatible with existing hardware Ruckus

R650 and Ruckus R750 or equivalent.

● Qty. 5 - RUCKUS ICX 8200-24FX Network Fiber Switch or equivalent plus

shipping

● Qty. 67 - RUCKUS ICX 8200-48PF2 Network Switch Device or equivalent

plus shipping

● Qty. 67 - RUCKUS ICX 8200-48PF Network Switch Device or equivalent

plus shipping

● Qty. 67 - RUCKUS ICX 8200-48P Network Switch Device or equivalent

plus shipping

● Qty. 50 - 10G SFP+ to 10G SFP+ 3m Switch Stacking Cables or equivalent

plus shipping

Vendor Qualifications:

The Vendor must provide proof of registration with the (SPIN) for reimbursement under

E-Rate guidelines for Category Two Services. If the Vendor fails to file the appropriate

forms with the SPIN or fails to receive an SPIN Vendor Number, the New Albany School

District is not responsible for the discounted portion of The Vendor’s bill should the

district choose the discounted bill method instead of filing BEAR forms at the end of the

fiscal year. The Vendor must generate an invoice for the USF portion of the bill in

accordance to SPIN regulations. The Vendor is responsible for supplying SPIN

with a bid. If the district chooses reimbursement at the end of the fiscal year, the Vendor

will agree to fill out the necessary paperwork with SPIN and remit payment to the district

for the discounted portion of the fiscal year payments within the guidelines stated by the

SPIN. The Vendor must be an approved USAC service provider with a current SPIN and

SPAC. It will be the responsibility of the vendor to maintain all USAC certifications

throughout the term of the contract.

will have adequate seating.
