RFP: Records Management Review
The City of Rochester is seeking proposals from qualified Consultants to support a citywide Records Management Modernization and Eventual Digitization Initiative. This project is intended to establish a standardized, compliant, and sustainable records management framework aligned with the New York State Archives Local Government Records Retention Schedule (LGS-1) and best practices in public sector records governance.
The City’s current records environment consists of a combination of paper-based, decentralized, and inconsistently managed records systems, with limited centralized oversight. Since 2020, the City has operated without a designated Records Management Coordinator, resulting in increased compliance risk, inefficiencies in records retrieval, and limited visibility into records inventory and retention status.
