Full-Service Warranty Elevator Maintenance

The NYS Office of Mental Health and Capital District Psychiatric Center are seeking to procure, through an Invitation for Bid (IFB), a Contractor to provide Full-Service Warranty Maintenance of Elevators at Capital District Psychiatric Center, located at 75 New Scotland Ave, Albany, NY 12208.

The Program Work Plan with Preventative Maintenance Tasks, Equipment List, Schedule Matrix, etc. is located in Appendix D of the Contract Boilerplate. Interested Vendors should review the Contract Boilerplate and IFB document for further information. Included with these documents is a Bid Quote Sheet in Excel format that should be used to submit your bid.

RENOVATION CONSTRUCTION PROJECT NOTE

Per noted in the Equipment List (Exhibit B), elevator 9-A in the Garage, covered under this contract agreement is part of a major elevator renovation construction project at the Facility. During the renovation timeframe for each elevator the Contractor will not be responsible for the maintenance or be allowed to invoice the Monthly Rate for maintenance, for those elevators until renovation completion and OMH acceptance of the elevators. The replacement elevator will then begin coverage under the terms of this agreement, with any repairs as a result of the renovations performed, covered under the one-year construction installation warranty. This construction project is expected to be completed in September or October 2026.

The CONTRACTOR is to provide Time and Material maintenance services for all elevators included in Appendix D – Work Plan for all equipment and tasks included in the following exhibits: Exhibit A – Preventive Maintenance Tasks; for all equipment and ancillary equipment listed in Exhibit B – Equipment List; and according to the schedule matrix included in Exhibit C – Schedule Matrix.

A Mandatory site visit will be held on Tuesday, October 8, 2024, at 9:00 AM EST. Interested bidders are to sign in at the main entrance. Site visit registration can be accomplished by completing and sending the Site Visit Registration Form (Attachment B of the IFB) no later than January 7, 2024, at 3:00 PM EST.

Questions from bidders attending the site visit are to be submitted by Wednesday, October 16, by 3:00 PM EST per the instructions in the IFB. Questions and Answers will be sent to all bidders attending the site visit, as well as posted to this ad, on October 23, 2024.

Bids are due no later than 3:00 PM EST on Wednesday, October 30, 2024.
