REQUEST FOR PROPOSALS 26-006 FOR
Comprehensive Preventive Maintenance, Repair, Controls, and Water Treatment Services
The Gainesville-Alachua County Regional Airport Authority (the Authority or GACRAA or Owner) is soliciting proposals from qualified firms interested in providing comprehensive preventive maintenance, repair, controls, and water treatment services for the HVAC systems serving the commercial passenger terminal and other Airport facilities. The Proposer (or Contractor) shall provide all labor, supervision, travel, tools, testing instruments, routine materials, consumables, replacement parts, controls support, water treatment, documentation, and equipment necessary to perform the services described herein, except for items expressly identified as exclusions or separately authorized work.
It is the intent of the Authority to award a comprehensive HVAC service contract for an initial term of five (5) years. Pricing shall be provided as a fixed annual amount for each agreement year. The maximum annual price escalation after Year 1 shall not exceed the Consumer Price Index for All Urban Consumers (CPI-U), U.S. City Average, All Items, not seasonally adjusted, for the most recent available twelve-month period preceding the anniversary date. If CPI-U is zero or negative, no increase shall apply for that year.

Issue Date: Monday, August 17, 2026, 9:00 a.m.
MANDATORY Pre-Bid Meeting and Site Visit: Thursday, August 27, 2026, 10:00 a.m.
Deadline for Submitting RFP Questions:  Wednesday, September 2, 2026, 5:00 p.m.
RFP Submission Deadline: Thursday, September 10, 2026, 4:00 p.m.
Target Award by GACRAA Board Thursday, September 24, 2026
A MANDATORY pre-bid meeting will be held Thursday, August 27, 2026, at 10:00 a.m. in the Gainesville Regional Airport Administrative Offices, 3880 NE 39th Avenue, Gainesville, FL.
