Description

The mandate of Canadian Heritage’s (PCH) Capital Celebrations and Program Operations directorate is to organize major events in the National Capital Region (NCR). In the context of some of these events, catering services will be required for artists, programming partners, volunteers, technical crew and staff at selected locations in the NCR.

The purpose of this Request for Standing Offer (RFSO) is to establish up to two (2) Standing Offers from date of award to 29 February, 2028 with the possibility of extending by up to one (1) additional one-year option period, with qualified Offerors who can provide catering services on an “as and when” requested basis during PCH’s major events and other events.

Bidder’s Experience

The Bidder must demonstrate their experience providing catering services for large-scale, high-profile events within the last five (5) years as of the closing date of this solicitation, by providing detailed descriptions for three (3) separate catering events.

A” large-scale, high-profile” event would be one that:

•        Had 200 or more guests present simultaneously; and,

•        Included as attendees at least two (2) high-profile guests like public figures and/or performing artists.

NB:

•        At least one of the events must have been for buffet style service.

•        At least one of the events must have been for boxed meal style service.

Each event description must include:

•        A description of the event for which the catering was done (name, nature of the event);

•        The physical location of the event

•        The number of guests that attended simultaneously;

•        A description of the high-profile guests that were in attendance (without identifying by name);

•        The format of the food service (boxed meals, plated, buffet, etc.); and,

•        Any other pertinent information that describes the nature of the project.

Proposed Menus

The Bidder must propose two (2) sample menus. Each of the menus must correspond to the minimum requirements for the following meal and format types as described in the section 3.4 Estimated Meal Requirements:

1.        Continental Breakfast Buffet

2.        Dinner Buffet;

3.        Boxed Lunch; and,

4.        Boxed Dinner.

Food Allergies and Intolerances and special instructions

The Bidder must describe their protocol when managing boxed meal service when there are special instructions concerning food intolerances and allergies.

The protocol must include:

•        How the special instructions are transmitted to the kitchen;

•        What measures the kitchen takes to respect the special instructions;

•        How meal boxes are prepared when there are special instructions;

•        If there are particular protocols when preparing meal boxes that have particular instructions (e.g. nut allergies);

•        How the meal boxes are identified before delivery; and,

•        Any other relevant information
