Title: Document Management Workflow
Addenda: 1
Release Date: 9/27/2024
Due Date: 10/22/2024
The County of Greenville is seeking a product that automates document management processes within our Cityworks environment. The current document management solution has reached its end of life, and the County is looking to replace it with a more robust software option. As Cityworks does not include a built-in document management component, County needs to identify a solution primarily focused on document control, which is critical given the volume of documents required for each project.
The County would like the new solution to provide the ability to control upload permissions, specify allowed document types, and enable document markup. Additionally, County seeks a system that facilitates communication and the return of marked-up documents within the platform, reducing the number of applications our Land Development and Subdivision Administration staff must use in their daily workflows. Ideally, the product we select will integrate seamlessly with Cityworks.
One of the key challenges County encounters is the upgrade process. The existing Cityworks environment is difficult to upgrade and maintain due to its extensive customizations and the involvement of multiple vendors. For the upcoming upgrade, County's goal is to identify a solution that not only replicates the functionality of the current system but also provides enhanced capabilities.
Additionally, the participation of three different vendors, each overseeing various project components, adds to this complexity. County aims to streamline the operations by selecting a product and vendor that can effectively partner with Cityworks, ensuring seamless collaboration during upgrades and facilitating timely issue resolution.
