INVITATION FOR BIDS
The Project. The Hamilton-Wenham School District, a Massachusetts public school district, the Awarding Authority (also referred to as the “District”), invites sealed bids for the landscaping services at the District’s Athletic Complex and various town fields, in accordance with specifications detailing the scope of work (the “Project”).
Scope of Work. The Project consists of providing comprehensive landscaping maintenance services for the Hamilton-Wenham Regional School District. Work includes but is not limited to, athletic field paint lining (both on turf and grass) regular mowing, trimming, edging, mulching, planting, fertilizing, seasonal cleanup, pruning of shrubs and trees, removal and disposal of debris, and related tasks necessary to maintain the aesthetic quality and safety of District grounds, all as set forth in the Invitation for Bids. The selected Contractor will serve as the primary service provider and is responsible for furnishing all necessary labor, equipment, materials, and supervision. The Contractor shall coordinate directly with District personnel regarding scheduling and performance of the services.
Applicable Law. All bids for this Project are subject to Massachusetts General Laws, Chapter 30B, which governs the procurement of goods and services by municipalities and school districts. The provisions of M.G.L. Chapter 30B are incorporated herein by reference and shall control in the event of any conflict between these provisions and other bid documents. It is each bidder’s responsibility to be thoroughly familiar with and comply fully with the requirements outlined in M.G.L. Chapter 30B.
Availability of Documents. The invitation for bid documents may be obtained electronically on or after May 18, 2026 by contacting Sami Barrett at 978-626-0902 or s.barrett@hwschools.net , from 8 AM to 4 PM, Monday-Friday. Copies of the invitation for bid documents will also be available for pick-up from the District’s Main Office at 5 School Street, Wenham, MA 01984, on May 18, 2026, and thereafter Monday-Friday 8 AM to 4 PM. If additional information is required to obtain the bid documents, please contact Mr. Vincent Leone, Assistant Superintendent of Finance & Administration at v.leone@hwschools.net .
Receipt Confirmation. To ensure the receipt of subsequent distributions of information from the District, recipients of the invitation for bid documents must submit a Receipt Confirmation via email to Mr. Vincent Leone, Assistant Superintendent of Finance & Administration at v.leone@hwschools.net .
Addenda. Subsequent distributions of information and addenda will be posted to the District’s website and forwarded by email to those bidders who submit at Receipt Confirmation to the District.
Requests for Information and Interpretation:? All inquiries must be submitted in writing by e-mail to Mr. Vincent Leone, Assistant Superintendent of Finance & Administration at v.leone@hwschools.net.
Pre-Bid Meeting. A pre-bid meeting can be scheduled by contacting our Director of Maintenance, Facilities, & Operations Curtis Wightman at c.wightman@hwschools.net . The area covered by this scope is entirely outside and can be viewed at any time however, we encourage vendors if unaccompanied by Curtis, view the area outside of the normal school day.
Bids. Bids will be received at the District’s Main Office at 5 School Street, Wenham, MA 01984, until 11:00 AM on June 5, 2026, at which time they will be opened publicly. One original with original signatures and one copy of the bid must be submitted in a sealed envelope and labeled with the bidder’s name and the project title: “Hamilton-Wenham Regional School District Athletic Complex Landscaping Services Procurement”. No email submissions will be accepted.
Any bids received after the noted date and times will be rejected and returned to the sender unopened. No exceptions will be made. Faxed/emailed bids will not be accepted. Bids received at the noted times will be publicly opened and read. Any bid may be withdrawn prior to the above scheduled time for the opening of bids or authorized postponement thereof. The bidder agrees that this bid shall be good and may not be withdrawn for a period of 30 days, Saturdays, Sundays, and legal holidays excluded, after the opening of bids.
License and Certification. Bidders must possess and maintain any licenses, certifications, or registrations required under Massachusetts law to perform landscaping maintenance services. Proof of such licenses or certifications shall be provided upon the District’s request.
Bid deposit. Every bid shall be accompanied by a bid deposit, in an amount not less than five percent (5%) of the bid amount, in the form of a treasurer’s check or a cashier’s check, issued by a responsible bank or trust company, made payable to the Hamilton-Wenham Regional School District; or a bid bond in the form included with the bid documents, with a surety company qualified to do business in the Commonwealth of Massachusetts, and conditioned upon the faithful performance by the principal of the agreements contained in the respective bid.
The District reserves the right to accept and/or reject any and all bids and waive any informality in bidding procedures to the extent allowed by law.
