City of Spruce Grove
The City is seeking to modernize its ERP environment.

The current landscape includes Microsoft Dynamics GP for financial operations and Avanti for HR and payroll, along with a range of supporting systems and point solutions. Over time, this environment has evolved to meet specific needs, resulting in fragmented processes that span multiple applications and rely on manual interfaces and custom integrations.

While each system serves a purpose, the overall environment is complex and difficult to manage. Core financial and operational functions depend on multiple applications that require custom integrations and workarounds to share information. This fragmentation results in duplicated effort, inconsistent data across departments, limited visibility into end‑to‑end processes, and increased risk of error. It also limits the City’s ability to respond efficiently to regulatory changes, service demands, and organizational priorities.

With Dynamics GP approaching end of life, the City is initiating this procurement to transition to a modern, integrated ERP solution.

The future state will establish a modern, integrated platform as the system of record for core financial and human resource functions, with supporting systems aligned appropriately. This will reduce reliance on integrations, simplify the technology landscape, and provide a more stable and scalable foundation, enabling consistent data, improved visibility, and stronger alignment between business processes and technology.

A modern, integrated ERP solution will improve data quality and decision-making. Information will be entered once and used consistently across the organization, reducing reconciliation effort and improving reporting accuracy. This will provide leadership with clearer, more reliable visibility into financial and operational performance.

The future state will also improve operational efficiency and user experience. Employees will work within streamlined, standardized processes in a single system, reducing manual effort and simplifying day-to-day tasks.

From an IT and governance perspective, fewer systems and integrations will reduce support and maintenance effort, improve reliability, and strengthen security, access controls, and audit capabilities.
