This opportunity is published solely for the purpose of collecting market information on existing products and services, which will help the Town decide its best course of action. This RFI may also assist the Town in gathering information in support of a potential subsequent Request for Proposal (RFP) document. A high-level overview of the scope of work has been provided to the proponents so they can offer the Town more detailed information about their products and services.

The Town is seeking information from qualified vendors for a Legal Artificial Intelligence (AI) Solution that can support and modernize our internal legal services. This initiative aligns with our strategic goals of improving operational efficiency, reducing legal and financial risk, and enhancing workflow through automation and intelligent technologies. This RFI is intended to gather details on solution capabilities, particularly in the areas of Canadian law, municipal bylaws, policy development, legal administration, research, contract management, and data security. This Request for Information (RFI) is issued by the Town to gather general information about products and services currently available in the marketplace. No commitment exists under this RFI, and no award will be granted. This opportunity is published solely for the purpose of collecting market information on existing products and services, which will help the Town decide its best course of action. The Town is seeking information from qualified vendors of Legal Artificial Intelligence (AI) solutions that can support and modernize our internal legal services. This initiative aligns with our strategic goals of improving operational efficiency, reducing legal and financial risk, and enhancing workflow through automation and intelligent technologies.
Currently, our legal and legislative operations rely on common office tools - Microsoft 365, Microsoft Teams, Microsoft Office (Word, Excel, PowerPoint), and records management system M-Files. Council meeting agendas and related documentation are managed through iCompass' agenda and meeting management software and records management system M-Files.
The legal services team consists of two members. Internal stakeholders for legal services include the senior leadership team, department managers, facility operations, recreation operations, safety and compliance, and human resources. External partners include legal counsel, insurance claims adjusters, underwriters, and other service providers.
The legislative services team consists of three members. Internal stakeholders for legislative services include senior leadership team, and department managers. Other stakeholders include the Mayor and Town Council, along with intergovernmental partners.
