Re: Replacement of Large Format Scanner
SCOPE:
The scope of this project is to replace a Colortrac M40 large format scanner for the City of Greenville
Engineering Department. The unit should be capable of Wifi and cabled connections but shall have the
ability to be easily transported between rooms in City Hall for multiple location scanning.
The City of Greenville is required to receive quotes in the form of sealed bid. Bids will be received by
Tuesday, May 12, 2026 at 2:00 pm at the Office of the City Clerk, 411 S. Lafayette Street, Greenville, MI
48838. The bids will be publicly opened and read at that time.
Electronic, faxed or emailed bids cannot be accepted.
BID PROCEDURE:
A bid shall consist of a data sheet for the proposed instrument or instruments that best match the
specifications below; a listing of all the components included in the bid or quote; the warranty period for
all components; the cost and duration of technical support services, including training, provided; and
whether there is a trade-in value for the current large format scanner. There should be both an itemized
and total cost listed on a single sheet.
The bid and accompanying materials shall be placed in a sealed envelope, clearly labelled, “Total Station
Bid” and either dropped off in person or mailed to:

Bids must be received by Tuesday, May 12, 2026 by 2:00 pm. They will be opened and read allowed in the
City Hall conference room at that time. Remote access to the bid opening is available upon request. Direct
all questions in writing to Doug Hinken at dhinken@greenvillemi.org.

SPECIFICATIONS:
The following are minimum specifications that are desired:
1. Capable of scanning 36-inch wide sheets of paper.
2. Color capable.
3. Minimum scan density 600 dpi
4. JPG, TIF, PDF and PDF/A output formats.
5. Includes PC with Windows 11 Pro.

b. 32 GB Ram
c. 1 TB PCLe SSD
d. Intel 2.5 Gb Ethernet
e. Wifi 6E + Bluetooth 5.3
f. Set up with capability to send scans to PC files, City network or cloud applications
at the user’s option.
6. The current scanner has a high stand and PC mount which can remain in use if the
proposed scanner is compatible. Otherwise include compatible replacements.
The City of Greenville reserves the right to accept any or all Bids and waive informalities.
