Special Instructions

1. All offerors shall review the special instructions and assure compliance prior to
submitting a quotation.

2. Technical specifications are attached. (See top right of page, under files).

3. In the event that the offeror is awarded this RFQ and its remittance address
differs from the offeror’s order address, indicate remittance address on the Note to
Buyer.

4. The University reserves the right to determine equivalency. The brand/catalog/model
number(s) identified in the solicitation are used as
a measure of quality, style, appearance, performance and compatibility. Any brand or model
of comparable or better
quality and performance than that specified will be considered for acceptance by the
University upon submission of a substitution request which must be emailed to
fredhiga@hawaii.edu by 12:00 PM HST on 3/12/26. These requests will be reviewed and
responses will be provided by 2:00 PM HST on 3/13/26.

5. Vendor shall invoice only for services and goods received.

6. If quote is $2500.00 or more, please note that the University of Hawaii
must verify vendor compliance with all laws governing entities doing business in the
state,
regardless of the method of payments used. The “Certificate of Vendor Compliance” is
required of all vendors including those based outside of the State of Hawaii. The Hawaii
Compliance Express online service will monitor the status of IRS and Hawaii Department of
Taxation compliance. You may register on their website for an annual fee.

7. Please include all associated freight costs, fees, taxes and delivery charges.

8. Items must be brand new and not be refurbished.
