I. Introduction

The Fox C-6 School District desires to contract with a vendor to replace and install a new stage lighting

setup for Rickman Auditorium during the length of the contract for the District. The vendor shall be a

qualified individual or business that possesses experience in lighting installation and setup. Questions in

reference to proposals shall be directed to Trey Jimenez by email: Jimenezt@foxc6.org. The last

day for questions being November 24th, 2025 at 11:00 AM.

II. Background

The District is a diverse, public school district located in Jefferson County in Missouri. The District

covers approximately 75 square miles, serves approximately 11,000 students and employs

approximately 1,200 staff. It contains 18 school facilities, including 11 elementary schools, 4 middle

schools, 2 high schools, and 1 specialty campus. Additionally, the district has an auditorium that is used

by both the schools and outside renters. The governing body of the District is a seven-member Board of

Education. The Administration of the District is headed by the Superintendent of Schools.

Rickman Auditorium has provided a stage for many schools and outside renters to perform on since

1986. The District is requesting formal bids for services to provide for an efficient and cost effective

lighting system for Rickman Auditorium.

III. Scope of Service and Performance Requirements

The purpose of this Request for Proposal is to replace the old par can truss lights for Rickman

Auditorium’s stage with new and power efficient RGBMA LED lighting. Furthermore, a new lighting

console is required to work with the new system of lights since it will need multiple universes to

function. Lastly, a DMX receiver will be needed. Each submission must contain the following: RGBMA

LEDs, DMX Receivers, and lighting console along with the material and labor costs. The description

also must specifically address the performance requirements listed below:

ii. (21) Elation KL Core IP Fresnel Lens

b. DMX Receiver

i. (2) Elation Aria X2 Transceiver

c. Lighting Console

i. Elation NXP Fader Wing

ii. Elation NXK Keypad for Onyx

d. Installation Materials

i. (22) Black Safety Cable Rated for 67lbs.

ii. (22) Elation Trigger Clamp BLK

e. List of all requirements that must be done prior labor, such as electrical work needed on

locations where the lights are installed and/or if a lift is needed.

f. Any minimum or maximum number of participants at each location.

g. Describe scheduling and communications

IV. Proposal Format

A. Preface

The Bidder will provide a summary of the installation being proposed. The Bidder will provide a

clear cost per unit and any other costs associated outside of the cost per unit. Additional costs for

overages must be outlined if the costs may be nuanced to their organization but which are not

specifically outlined within this request for proposal.

B. Proposal

The District is requesting responses from qualified bidders for the installation of a new Stage

Lighting System for Rickman Auditorium. Please include an additional price per unit for the

RGBMA LEDs, DMX Receivers, Lighting Console, and Installation along with the costs for the

labor and shipping. The successful bidder will provide a new and modern lighting system to a stage

that many students and staff within the District use every year. Further information will be outlined

within section III.

C. References

References are to be from other auditoriums, theatres, and school districts, which are substantially

serviced by the vendor (references most similar to the District should be provided). Each reference

must contain the reference’s name, address, telephone number, and point of contact (including email

address). Provide a reference for each. At minimum three (3) references are to be provided by the

bidder.

D. Questionnaire

Each Bidder’s response must include an introductory letter. Please provide responses to the

following information in order to provide a summary of qualifications.

a. How long has your company been installing stage lighting?

b. How many public school districts, auditoriums, and theatres does your company currently

service within the St. Louis Metropolitan region?

c. Provide a detailed description of the services and any limitation in either hours of operation

or location of proposed services that would affect the applicant’s ability to provide the

services.

d. Provide a detailed description on your ability and approach to delivering the service.

e. Provide detailed information on past performance with other similar entities.

g. Describe any work that would be required for our electrician in order to be compatible

with the lights.

G. Qualifications

Qualified bidders are required to employ any necessary staff to meet the conditions of this

agreement. Any necessary licenses legally required in the state of Missouri are the responsibility

of the successful bidder.

H. Timeline

The District has many concerts and events within Rickman Auditorium, so this project will need

to be done during a free and available week. Dates of availability would be preferable to be in a

one week period but would be negotiable between parties. Preference is the month of December

or January to complete the project before 2nd semester events.

I. Value Added Service

Respondents should outline any other value added service they intend to provide, if any.

V. Competitive Selection / Evaluation

A. This is a NEGOTIATED procurement and as such, award will not necessarily be made to

the offer or submitting the lowest priced proposal. Award will be made to the firm

submitting the best responsive proposal satisfying the District’s requirements, price and

other factors considered.
