CITY OF HANAHAN REQUEST FOR PROPOSALS
ATHLETIC FIELD FERTILIZATION AND MAINTENANCE -
THE CITY OF HANAHAN hereinafter referred to as the (COH), is accepting PROPOSALS for Athletic Field
Fertilization and Maintenance. The City of Hanahan invites qualified contractors for athletic field
fertilization and maintenance. These fields are located at the Hanahan Recreation Complex, 3100 Railroad Ave,
Hanahan, SC 29410. The fields consist of 7 baseball/softball fields and a soccer field.
All bids shall be hand delivered or mailed via U.S. Mail or UPS/FedEx. Bids must be submitted with two
(2) originals and one copy addressed to:

OWNERS RIGHTS: The COH reserves the right to accept or reject any, all or any part of proposals received as
a result of this request, to waive any informalities or to cancel in part or in its entirety this request, if it is in its
best interest to do so. The COH will be sole judge as to whether proposals submitted meet all requirements. All
proposals submitted shall become the property of the COH. This solicitation does not commit the COH to award
a Contract, to pay any cost incurred in the preparation of proposals or to procure or Contract for goods or services.
The COH reserves the right to interview all or any of the responding firms to this RFQ. All proposals must
provide satisfactory evidence of ability to furnish services in accordance with the terms and conditions outlined
in the solicitation. Bidders may request access to site by appointment prior to submission of proposals.

SECTION I
The purpose of this REQUEST FOR PROPOSAL is to seek a qualified Vendor for Athletic Field Fertilization
and Maintenance.
SCOPE OF WORK:
Specification for Annual Preparation on Baseball and Softball Fields Infield Skin Areas
• Contractor shall make ground preparation of the infield skin areas by reverse tilling to a depth of 3” and
adding 25 tons of screened sand/clay mix along with two (2) tons of Turface soil conditioner and
incorporate the two together. Some fields may require more or less of screened sand/clay mix and calcined
clay soil conditioner. Contractor shall meet with the Hanahan Recreation (HRD) Representative on a per
field basis to determine exact amounts when required. Screened sand/clay mixture to be imported from
AMC/Glasscock borrow pit located in Sumter South Carolina.
• Contractor shall re-grade the infield using laser leveling equipment to ensure positive drainage and
optimum playability for the upcoming season.
• Where skin and grass meet, the contractor shall properly edge these areas and uniformly shape them.
Areas that have lips, bumps, or humps shall be removed.
• Contractor should check all bases for proper location and distance and shall make alignments according
to the HRD requirements. Pitching mounds and Homeplate areas will be included in the preparation work
with Professional Mound Clay installed. The mound height shall meet the individual HRD league
specifications.
The intent of these specifications is to set forth and convey to prospective bidders the general type, character
and quality of the services as desired by The City of Hanahan. Any deviations from these specifications shall
be clearly noted.
It is the City’s intention to solicit bids from qualified firms to provide athletic field maintenance for the athletic
facilities at The City of Hanahan Recreation Complex. The successful firm must be able to demonstrate its past
and present experience of providing quality athletic field maintenance.

Minimum Qualification Requirements:
• Must have a current South Carolina Pesticide Applicator License and Certified Sports
Field Manager on staff to oversee program services.
• Must have been in business for a minimum of five (5) years with at least 75% of the
business being in the sports turf management area.
• Must have a full understanding of the requirement level for properly maintaining
athletic fields
Contractor’s Responsibilities:
All Contractors will abide by the following standards while performing services:
• No Subcontracting of work will be allowed
• No pesticides or other chemicals are to be stored in HRD buildings.
• Any communication with patrons, staff, or other City of Hanahan employees must be
of an acceptable professional nature.
SERVICES REQUIRED:
Provide balanced fertilization and weed controls along with blanket fire ant and mole cricket controls. Core
Aeration and Supplemental Deep Slice Aeration, as well as Top Dressing in Summer.
Hanahan Recreation Complex Athletic Fields:
• Seven (7) scheduled turf program treatments
• Aeration/top dressing
• Blanket Fire Ant/Mole Cricket treatment (Top Choice Insecticide)
• Verti-cutting/sweeping
• PRIMO Plant Growth Regulator Applications
• Infield Skin Areas Preparations on Baseball and Softball Fields
BASIC ANNUAL TURF PROGRAM:
Early Spring:
• Blanket pre-emergent and post emergent weed control to turf areas to eliminate winter weeds and
prevent spring weeds such as crabgrass and goose grass.
• Potassium application for improved turf vigor
• Soil analysis (soil testing to be performed as often as necessary during Program).
Spring:
• Blanket pre-emergent herbicide application to prevent most spring weeds and post emergent
herbicide to control any weed species that may be present.
• Blanket Fire Ant and Mole Cricket control application (Top Choice Insecticide).
• Fertilization containing a balanced rate of nutrients to promote a uniform color during spring
green-up.
