Notice of Intent to Award a Contract

Notice is hereby given that the City of Abbotsford (the “City”) is contemplating making a direct award of a contract to Microsoft Canada Inc (the “Service Provider”) for the following:
  • Microsoft M365 Suite of IT Services (Email, MS Teams, SharePoint, OneDrive, etc.)
The contract will be for three (3) years from March 1, 2025 to Feb 29, 2028 and the contract amount for the three years is up to a maximum of $1,575,000.00. The value of the contract from March 1, 2014 to February 28, 2025 is $5,695,328.15 (subscription costs).

Background

The current contract with Microsoft Canada Inc expires on February 28, 2025. The City of Abbotsford (“City”) is participating in the Provincial “Microsoft Business and Services Agreement (“MBSA”) which entitles the City to pricing “Level D”.

Scope of Services of Specifications
  • Maintain M365 subscription to continue access to Microsoft services and software.
Rationale for Contemplating a Direct Award

The City is contemplating a direct award with the Supplier for the following reasons:
  • To ensure continuity of services and support of Microsoft M365 and avoid any business operational disruptions.
Contract Value:

The value of the contract is expected not to exceed $7,270,328.15 CAD plus applicable taxes.

A ny Respondents that still wish to object to this decision they should email their objection to the attention of Sailesh Kapadia, Buyer III ,Procurement Services at https://abbotsford.bidsandtenders.ca by Monday, December 16, 2024 no later than 2:00 p.m. local time.

Submissions by other methods will not be accepted.


Respondents objecting must outline specific reasons for their objection in their email as well as demonstrate their ability to perform the contemplated work and/or services and show availability and resources.  The Respondent’s ability to provide goods and services of the same or better quality and price and within the required period will be the key criteria used in the consideration of any Respondent’s objections.
