Title: Document Destruction Services
Addenda: 1
Release Date: 10/8/2025
Due Date: 11/11/2025
The City of Newport News (the “City”) is seeking proposals from qualified firms (the “Offeror” or “Contractor”) to furnish the goods and/or services described herein and proposals will be received via the City’s e-Procurement Portal, OpenGov Procurement ( https://secure.procurenow.com/portal/nnva ), to be received no later than Tuesday, November 11, 2025 at 11:30 pm (local prevailing time).
The purpose of this Request for Proposals (RFP) is to solicit proposals to furnish/provide on-site shredding services for all interested Newport News departments.
The various departments of the City of Newport News possess a variety of information material that requires destruction. The specific information material and the schedule of destruction may be dictated by law, or may be as determined by the departments’ internal policies.
Information material includes primarily papers (office papers, computer paper, colored paper, glossy paper, file stock, laser print paper, file folders, envelopes, etc.). Some departments may have an occasional need for destruction of other media (i.e.: computer media, tapes, diskettes, etc.; microfilm; or other record retention media).
The informational material may contain sensitive or confidential information as defined in the Virginia Government Data Collection and Dissemination Practice Act, the Virginia Freedom of Information Act, and other specific statutes and regulations or that may be set by City policy.
Some departments create and/or identify information material that is to be shredded on a scheduled basis. Other departments may only require shredding services on a periodic basis (i.e.: annual purge) and service would be provided “on call”.
