Project Description: "The Office of Student Protections, Title IX, and Equal Opportunity Compliance requires a comprehensive case management system to ensure regulatory compliance, operational efficiency, and effective institutional risk management.
Business Need: The District is legally obligated to maintain accurate, secure, and auditable records of all complaints related to sexual harassment and sex discrimination under Title IX and federal equal opportunity regulations. Currently, the lack of a dedicated case management system creates significant operational and compliance risks.
Proposed Solution: Implementation of a specialized case management system designed to serve as the official record-keeping platform for all Title IX and equal opportunity compliance activities.
Key Capabilities Required:
The system will provide centralized documentation and preservation of:
• All complaints of sexual harassment and sex discrimination
• Investigation records and institutional responses
• Written documentation sent to and received from complainants, respondents, and witnesses
• Interview notes and witness statements
• Related correspondence and communications
• Audit trails and compliance reporting
Expected Benefits:
• Regulatory Compliance: Ensures adherence to Title IX and federal equal opportunity requirements
• Risk Mitigation: Reduces institutional liability through proper documentation and case tracking
• Operational Efficiency: Streamlines case management workflows and reduces administrative burden
• Data Security: Provides secure storage of sensitive and confidential information
• Reporting Capabilities: Enables accurate reporting for internal and external stakeholders
• Accountability: Maintains comprehensive audit trails for all case activities
Conclusion: The implementation of a dedicated case management system is essential to fulfill the District's legal obligations, protect student rights, and maintain institutional integrity in handling Title IX and equal opportunity matters."
