Introduction
The City of Cartersville is requesting proposals from qualified vendors to provide and install
furnishings for City Hall. The City will provide furniture layout floor plans and a list of
generalized furniture products by floor. Vendors are asked to submit a complete proposal
and full quote for all furniture and seating included in the scope.
The intent of this RFP is to select a vendor that can supply high-quality, durable furnishings
that meet the City’s functional needs, aesthetic goals, and long-term use expectations.
Project Overview
The City intends to furnish multiple floors and functional areas within City Hall. Furniture
layouts and generalized product lists will be provided by the City and should be used as the
basis for pricing and product selection.
Vendors are expected to propose furniture that meets or exceeds the intent of the layouts
and product descriptions provided, while maintaining consistency, quality, and durability
across all spaces.
Project Timeline
The City anticipates that construction of City Hall will begin in February 2026, with
substantial completion and move-in expected in March 2027.
Furniture procurement, delivery, and installation will be coordinated to align with the
construction schedule. Vendors should account for anticipated lead times and delivery
windows within this overall timeframe and identify any potential constraints in their
proposals.
Scope of Work
The selected vendor will be responsible for the following:
- Review of City-provided floor plans and furniture layouts
- Review of generalized furniture and seating lists by floor
- Selection of appropriate furniture products that meet the intent of the layouts
- Submission of a complete, itemized quote for all furniture and seating
- Identification of materials, finishes, and construction methods
- Coordination of ordering, delivery, and installation
- Replacement or correction of damaged or incorrect items, if applicable
Furniture Information
The City will provide the following as part of this RFP:
- Furniture layout floor plans
- Generalized furniture and seating lists by floor
Proposed products should align with the quantities, functions, and intent shown in the
provided materials.
Proposal Requirements
Proposals should include, at minimum:
- A complete itemized price proposal for all furniture and seating
- Product specifications for all proposed items
- Material descriptions and construction details
- Cut sheets or product documentation as available
- Any assumptions, substitutions, or deviations from the provided layouts or product lists
- Warranty information for all proposed furniture and seating, including length of coverage,
coverage terms, and any exclusions
- Photographs of previously completed furniture installations or projects of similar scale
and scope
- References from recent or relevant projects, including contact information
Selection Criteria and Scoring
Product Quality, Materials, and Craftsmanship – 40%
o The City will evaluate the overall quality and durability of proposed furnishings.
Preference will be given to products that:
- Utilize solid, durable materials such as solid wood and steel
- Demonstrate long-term durability and thoughtful construction
- Are handcrafted and made or sourced in the United States
- Reflect a modern industrial aesthetic that complements the design of City Hall
and acknowledges Cartersville’s history through materials or craftsmanship.
Compliance with Layouts and Product Intent – 20%
o Evaluation of how well the proposed furnishings align with the city-provided
floor plans, layouts, and generalized product lists.
Pricing and Cost Competitiveness – 15%
o Evaluation of total cost, clarity of pricing, and overall competitiveness of the
proposal.
Timeline and Delivery Schedule – 15%
o Evaluation of proposed lead times, delivery schedule, and the vendor’s ability to
meet the City’s anticipated timeline for furnishing City Hall.
Overall Value to the City – 10%
o Evaluation of the overall value of the proposal, including product quality,
consistency, warranty coverage, references, past performance on similar
projects, and demonstrated ability to successfully deliver comparable furniture
installations.
