1) Introductions
2) Single Prime Project: Mechanical
3) Sign-In Sheet: Must sign in before you leave. (the sign-in sheet will be included with addendum)
4) MWBE Participation: Documentation of participation and Good Faith Effort is required with the bid.
Documents are included in the bid package. MWBE Goal 12.46%
5) Conduct/Safety: Professional conduct required. No firearms, weapons, drugs, alcohol, tobacco
products, e-cigarettes, etc. Prime contractor shall have background check of all people to access the
site and confirm they are not registered sex offender. Contractor shall store this information and be
able to provide to the Owner upon request.
6) Owner Special Events/Needs: Must coordinate with staff 3 days in advance: possible events requiring
parking lot, drives, etc.
7) Schedule:
BID RECIEVING: Sealed Bids will be received by the Guilford County School System until 2:00
PM on March 26th, 2026 at 714 Green Valley Road, Greensboro, NC 27408, Room 2A.
o Allow extra time for Parking and Check-In,
NO BIDS ACCEPTED AFTER 2PM
Sales Tax – Include in bid- must submit monthly sales tax forms.
5% Bid Bond Required.
100% Performance, Labor and Material Payment Bonds
Insurance-Required.
Contingency Allowance: $25,000
Transformer Allowance: $30,000
INCLUDE $30,000.00 IN THE BASE BID FOR TRANSFORMER REWORK AS
DETERMINED BY UTILITY PROVIDER. THE OWNER AND/OR ENGINEER
WILL PROVIDE WRITTEN APPROVAL TO USE ANY ALLOWANCE FUNDS. A
CHANGE ORDER WILL BE ISSUED FOR THE USE OF AND/OR CREDIT
CHANGE ORDER WILL BE ISSUED FOR RETURN OF UNUSED FUNDS TO THE
OWNER. CONTRACTORS FAILING TO HAVE WRITTEN AUTHORIZATION
FROM THE OWNER AND/OR ENGINEER FOR THE USE OF ALLOWANCE
FUNDS PRIOR TO BEGINNING THE ADDITIONAL WORK COULD RESULT IN
THE USE OF THE ALLOWANCE FUNDS NOT BEING APPROVED.
ALL unused (approved) funds shall be returned to Owner by change order credit- Owner/Eng
must approve in writing.
Bid Alternates:
o Project will have 2 alternates as follows:
MECHANICAL ALTERNATE - M1 -ADD
PROVIDE A PRICE FOR THE INCLUSION OF ALL WORK ASSOCIATED WITH THE
REMOVAL AND REPLACEMENT OF PACKAGE ROOFTOP UNITS RTU-2(E) AND RTU-
3(E). INCLUDE ALL PORTIONS OF WORK ASSOCIATED WITH REMOVAL AND
REPLACEMENT OF RTU-2(E) AND RTU-3(E).
MECHANCIAL ALTERNATE - M2 -ADD
PROVIDE A PRICE FOR THE INCLUSION OF ALL WORK ASSOCIATED WITH THE
REMOVAL AND REPLACEMENT OF PACKAGE ROOFTOP UNITS RTU-5(E)/ERV-5(E)
AND RTU-6(E)/ERV-6(E). INCLUDE ALL PORTIONS OF WORK ASSOCIATED WITH
REMOVAL AND REPLACEMENT OF RTU-5(E)/ERV-5(E) AND RTU-6(E)/ERV-6(E).
Notice To Proceed- After Board of Ed Meeting, if approved.
April Meeting (4-14-26)
All equipment must be fully operational by August 1st 2026 and project complete
by August 15th 2026. Note: If system cannot be operational by August 15th 2026
due to equipment lead time, submit schedule to the owner for review and approval.
(if required by schedule) During the Summer Break of 2026, the facility may
be operated with only four (4) industrial portable dehumidifiers (see
specifications below).
(if required by schedule) Four (4) industrial portable dehumidifiers shall be
provided and placed within the Gym/facility during construction.
Dehumidifiers shall be in operation during all ERV work. It will be the
responsibility of the M.C. to maintain the Dehumidifiers during construction
including filter cleaning/replacement, condensate pump maintenance, and
condensate tubing to an acceptable discharge location. If an acceptable
discharge location is not available, the contractor shall empty bucket daily.
At the completion of construction, the Dehumidifiers are to be removed
from the project site. The Owner does not want to retain.
Industrial Portable Dehumidifier to be (or equal);
o Dayton
o Model:55HE56 70 pints per day
o R410-a refrigerant Continuous Drain
o 115v 60 hertz 5.5 amp
o Corded (10 G min)
o Condensate pump

Fire alarm system must be operable @ unoccupied time, if not perform fire watch
whenever off.
Portable toilet facilities shall be provided by contractor.
Coordinate laydown and portable toilet locations with owner during pre-construction meeting.
8) Liquidated damages: $250/day and public disgrace and banned from future projects if fail to perform.
9) Utility/Water/HVAC Interruption: Must schedule in advance with the school. (3-Day Minimum notice)
10) Permits and Liens: Contractor to procure.
11) Patch and paint to match.
Walls and/or floors left exposed after new unit ventilator installation are to be repaired or
painted to match existing color/finish.
12) The MC shall be responsible for all control wiring integration for his equipment. New equipment
controls shall be upgraded and integrated into the existing controls system including graphics.
Alerton controls are existing.

13) Notes:
Contractors must wear uniforms (shirts, hats, etc.) plus ID badge while working on
campus. The lead person shall check in at the office each day.
Work may take place in the mechanical room and other mechanical/electrical rooms
during normal school hours, provided they do not disturb the operation of the school.
Testing days will be announced well in advance. NO work may occur during the testing
times.
E-procurement contractors must pay any associated fees. This project does NOT require
e-procurement.
14) Pre-Bid Meeting Notes:
School to be un-occupied during summer.

Last Staff Day 6-17-2026
Existing ceiling tiles are to be remove and reinstalled where required to access above
ceiling work. Contractor may elect to provide new ceiling tiles, if new tiles are provided the
entire room must be replaced.
15) Approved Manufacturers:
Ruskin RRS (UERV) will be allowed as an equal for ERV-5 and ERV-6 (Semco)
