The first 6 months of a Maintenance, parts and all supplies (excludes paper) agreement as a cost per
Print/Copy in Black and White for the Canon iF C5140 System specified on line 1 or equal
Must have ability to automatically collect meter reading and customer portal (management system).
To include
All parts, labor, emergency calls, travel time, mileage, regular inspections, preventive maintenance,
equipment modernization, drum replacement, free loaner equipment and replacement guarantee.
Maintenance and supplies expressed as a cost per copy (to include all costs associated with the
service/labor, travel expenses, parts, supplies, etc., except paper) for the 36-month agreement to be
billed monthly in arrears. The City has the ability to enter into mulit-year agreements, but can only fund
on a year to year basis based on funds being available. The City will issue purchase orders as needed
each year. The City only wants to pay for copies made. No minimums or maximums. The City does not
pay penalty or late fees. No charge for scans and all size copies to be at the same cost per copy. The City
doesn't sign maintenance agreements since they tend to include terms and conditions that the City
Attorney's Office will not approve.
The maintenance and service to be done according to the manufactures suggested maintenance for the
optimum quality of copy and performance of the equipment.
User response time guarantee- user is issued a written guarantee that requires a qualified, certified
technician to respond to service calls as follows:
1. Confirmation call to customer within 30 minutes of the initial request and
2. Technician to be on-site within 4 business hours of the initial request.

The estimated monthly volume is 2000 black and white prints/copies per month (Note that the City
makes no guarantees regarding the estimated volume) per machine.
This request is funded by the State of Ohio Equitable Sharing Program. The awarded bidder must be
