Snow College is issuing this Invitation for Bid (IFB) to establish a purchase order with the responsive and responsible vendor offering the lowest total cost for the supply of two ROAM Camera Carts (Model C) with a built-in PTZ (Pan-Tilt-Zoom) camera and microphone, or an equivalent item.

Hardware
ROAM Camera Carts Model C (Qty: 2)
Built-in PTZ (Pan-Tilt-Zoom) camera (1080p HD, 30fps, RTSP support)
Integrated omnidirectional microphone for audio capture
Built-in speaker for talkback functionality via VALT software
Wired and wireless network connectivity
Mobile, ergonomic cart design with locking casters
Software & Licensing
VALT Enterprise Camera License (Qty: 2)
VALT software licenses for recording, control, and management
Camera control software licenses
All necessary device and user licenses for full system functionality
5-Year Software Support Agreement (SSA) for each cart
Professional Services
Project Management Services for VALT deployment
Onsite Configuration Services for VALT appliances, software, and Axis cameras
Onsite Training for end users and system administrators
Travel expenses for installation and training personnel
Shipping and logistics for delivery of all equipment and materials
Note: All submitted bid prices must be inclusive of all associated costs, including but not limited to shipping, handling, delivery, setup (if applicable), and any additional fees or surcharges. No additional charges will be accepted beyond the total bid amount.
Additional Notes:
- Equipment must be new and include service agreements or warranties.
- Delivery must be FOB Destination to the specified location in Utah. All shipping and handling costs must be included in the quoted price.
Warranty and Service
Vendors must specify the warranty coverage included with the product. Vendors are encouraged to provide details on any extended warranty options or service plans available.
Evaluation of Quotes: Each quote received shall be evaluated for responsiveness in as outlined in the Utah Procurement Code. This IFB shall be evaluated by the objective criteria described in this IFB. Quotes submitted must comply with the specification identified in this IFB.
Multiple or alternate quotes will not be accepted. If a vendor submits multiple or alternate quotes, Snow College will only accept the bidder's primary bid and will not accept any other bids constituting multiple or alternate bids.
Snow College Purchasing may solicit other quotes via email, phone, or other methods as permitted by the Utah Procurement Code or applicable Administrative Rules.
