Kent District Library (KDL) is seeking Proposals for a Generator at the
Kent District Library Service Center
The Proposer will deliver personally or by any mail or courier service one (1) printed and signed
original Request for Proposal (RFP) response, one (1) printed and signed pricing sheet, and one
electronic (1) electronic copy of the RFP and Pricing sheet submitted to: emyers@kdl.org by 1:00 PM
(EST) on Monday, July 13, 2026, to the following address:

Submission Requirements
Proposals must be personally delivered, mailed and emailed with the name, address and contact
information of the proposing firm and the title “Generator for the KDL Service Center”. See Section 1
(Introduction and Instructions to Proposers) for details on the proper packaging of proposals. Any
proposals arriving after 1 PM on Monday, July 13, 2026, will be marked late and will receive no
consideration for selection. Proposals faxed will not be accepted.
Complete proposal packages with detailed instructions will be available beginning Tuesday, June 2,
2026, on the KDL website (www.kdl.org/rfp) or by requesting a copy via email at emyers@kdl.org. Any
questions or clarifications regarding this RFP should be emailed only to emyers@kdl.org. All questions

should be submitted no later than 10 AM on Monday, July 6, 2026. Responses will be posted in the
form of an addendum on KDL’s website (www.kdl.org/rfp) on Wednesday, July 8, 2026, by 5 PM. All

Definitions
Branch – A subset, or component part, of a district library operation existing at a different location
than other components of the library operation.
Consultant/Selected Vendor – Used interchangeably
KDL – Kent District Library in Kent County, Michigan.
Library – An institution housing collection of books and other material made available for loan or
consultation, specifically Kent District Library of Kent County, Michigan.
Proposer – An individual, business or firm submitting a proposal to Kent District Library.
Qualified Firms – One who contracts to perform services in accordance with a contract; synonymous
with Vendor, Contractor, or Agent.
Vendor (or Contractor) – Firm, or individual representing a firm, retained by the Library to provide
knowledge, advice, and services in an area of documented expertise.

Section 1: Introduction and Instructions to Proposers
1.1 PROJECT PURPOSE AND INTENT
The purpose of this Request for Proposals (RFP) is to invite sealed proposals from qualified firms to
provide a generator for the KDL Service Center located at 814 West River Center Dr NE, Comstock
Park MI 49321. The generator is intended to ensure proper functionality and uninterrupted power
supply during outages or critical operations. It will be used to support essential systems that require
continuous power, minimizing downtime, and safeguarding productivity. The generator must be
installed no later than Thursday, December 31, 2026.
1.2 BACKGROUND INFORMATION – KENT DISTRICT LIBRARY
Kent District Library is a nonprofit governmental unit, which began in 1936 as the Kent County
Library System. In 1994, the Library separated from the County to form Kent District Library, a district
library and independent taxing agency with governance by a Board of Trustees appointed by the
Kent County Board of Commissioners and representing eight geographic regions of the KDL Service
Area. In 2023, voters approved a 15-year, 1.1 millage renewal for library operations. In 2014, KDL was
also awarded 501(c)(3) status as a nonprofit charitable organization.
Presently, Kent District Library serves a population of 440,000 in 27 municipalities through 20
branches located throughout Kent County. This service population includes all areas of Kent County
except the cities of Grand Rapids and Cedar Springs, the Village of Sparta, and Solon and Sparta
townships. Over 41% of residents in KDL’s service population are KDL cardholders. For additional

1.3 PROJECT SCOPE (3 QUOTES)
The scope of the generator purchase includes the following requirements:
1. Equipment
o Cost of generator unit (specify brand, model and capacity).
o Warranty details.
o Delivery timeline.
2. Installation Services
o Labor and materials for installation.
o Electrical and mechanical integration.
o Permitting and inspection fees.
o Estimated project duration.

3. Maintenance and Support:
o Annual maintenance plan.
o Emergency and inspection fees.
o Spare parts availability.
o Remote monitoring options.
1.4 PROPOSED PROJECT SCHEDULE
A. Project Description:
a. The purpose of this project is to procure and install a commercial-grade backup
generator to ensure continuous power supply for critical operations at the KDL
Service Center. KDL anticipates that the generator will support critical building
operations; however, final system requirements and load specifications will be
determined through the RFP and vendor proposals. Proposers should assume the
generator may be required to support a combination of essential systems, including
but not limited to:
i. IT infrastructure and network systems
ii. KDL book sorting equipment
iii. HVAC systems (full or partial building support)
iv. Bookmobile garage operations and delivery overhead doors
v. Patron service areas
vi. Select staff breakroom appliances
vii. Interior and exterior lighting
viii. Building access control systems at the Service Center
Proposers are encouraged to evaluate and recommend appropriate system sizing,
configuration, and prioritization of loads based on best practices for similar
facilities.
b. This initiative is part of a broader effort to enhance operational resilience, protect
sensitive equipment, and maintain uninterrupted service delivery. The selected
vendor will be responsible for providing the generator unit, performing installation,
and offering ongoing maintenance and support.
The scope includes:
i. Site evaluation and preparation
ii. Delivery and installation of the generator
iii. Electrical integration with existing systems
iv. Compliance with all applicable codes and regulations
v. Testing, commissioning, and staff training
c. A detailed quote for the requested generator, including itemized costs for
production, delivery, and installation along with all necessary permits and
compliance with local codes.
