Special Instructions

The University of Hawai’i at Hilo’s Motor Pool is seeking to have repairs made to a 2019 Ford Transit 15-passenger van (VIN: 1FBZX2YM9KKB72039) (Lic.#: H610) that was involved in a low-speed collision with a fence pole that damaged the driver\'s side door, side panels, and windows.

Work shall include all applicable taxes, labor, materials, bodywork, paint, and replacement of damaged glass windows and components necessary to repair the collision-related damage and restore the damaged areas of the vehicle to safe operating condition. Please see the attached photos for additional information.

Vendors may schedule an appointment to inspect the vehicle at the University of Hawaii at Hilo prior to submitting a quote. The vehicle will be available for inspection on campus by appointment. If necessary, the University may coordinate alternative arrangements for inspection at its discretion.

To schedule an inspection, please contact William Walters, Director of Auxiliary Services at (808) 932-7858 or email wwalters@hawaii.edu

The full extent of repairs may not be known until the vehicle is dismantled. If additional collision-related damage is discovered during repair that was not visible during initial inspection, the vendor must submit a written supplemental estimate and obtain University approval prior to performing additional repairs.

Vendor must have a repair facility located on the island of Hawaii capable of performing the required work.

Payment for services will be made by the University of Hawaii at Hilo through an approved University purchase order upon completion of the work and receipt of a valid invoice.

Insurance reimbursement related to this repair will be handled internally by the University and does not affect vendor payment.

Bidding vendors must furnish proof of compliance with the requirements of 103D-310(c) HRS by presenting a certificate of vendor compliance obtained via the Hawaii Compliance Express website. Vendor’s current status MUST be listed as “COMPLIANT” by the closing date of the bid and through issuance of the purchase order.
