The City of Sierra Vista is seeking proposals from qualified audiovisual (AV) integration firms to provide, install, configure, and commission a comprehensive audiovisual system for the Mona Bishop Library Conference Room located at the Sierra Vista Public Library.
The selected proposer will furnish all required equipment, labor, programming, testing, and training necessary to deliver a fully functional, user-friendly AV solution that supports presentations, public meetings, training sessions, and hybrid/video conferencing. The system must integrate seamlessly with existing City standards and equipment and meet all technical, performance, and scheduling requirements outlined in this Request for Proposals (RFP).
Proposals must include detailed technical specifications, a project plan and schedule, a complete cost breakdown, and evidence of relevant experience with similar public-sector or institutional AV installations. All work must be completed on or before June 30, 2026.
The City of Sierra Vista Public Library serves as a central hub for community engagement, public meetings, educational programming, and staff training. The Mona Bishop Library Conference Room is frequently used by City departments, community organizations, and the public and requires a modern, reliable audiovisual system capable of supporting diverse uses, including in-person and remote participation.
To enhance functionality and improve the user experience, the City intends to upgrade the conference room’s audiovisual capabilities with a standardized AV solution that aligns with existing City equipment and operational practices. The upgraded system will include a large-format display, integrated audio system, microphones, user input options for personal devices (BYOD), optional video conferencing capability, and a centralized touch panel control interface.
The City is issuing this RFP to identify a qualified AV provider with demonstrated experience in designing and installing complex audiovisual systems in environments such as training rooms, conference rooms, and public libraries. The City seeks a turnkey solution that ensures reliability, ease of use, compatibility with existing systems, and long-term value.
