1. INTRODUCTION & PURPOSE
Town of Middlebury (“the Agency”) is soliciting proposals from qualified vendors for the
purchase and delivery of one (1) new, diesel powered, ¾-ton pickup truck equipped with
four full-size doors (crew cab). The vehicle will be used for daily operational duties that
include apparatus towing, personnel transport, and light utility work.

4. PROPOSAL SUBMISSION CONTENTS
1. Cover Letter signed by an officer authorized to bind the firm.
2. Completed Pricing Sheet (see Appendix A).
3. Detailed spec sheet verifying compliance or listing exceptions.
4. Warranty & Service description, including nearest authorized service center.
5. Lead Time Statement confirming delivery window.
The Agency reserves the right to award to the vendor offering the best overall value, not
necessarily the lowest price.
5. INSTRUCTIONS TO BIDDERS
Proposals can be submitted to DPW at 1020 US Route 7 or sent digitally to Chief

Late proposals will not be considered.
The Agency is exempt from federal excise tax; do not include it in pricing.
The Agency may cancel this RFP or reject any/all proposals if deemed in the public
interest.
6. TERMS & CONDITIONS
This solicitation and any resulting purchase shall be governed by the laws of the
State of Vermont and the Agency’s Procurement Ordinance.
Payment terms: Net 30 days after accepted delivery.
All equipment shall be new, of current production, and carry full manufacturer’s
warranties.
By submitting a proposal, the vendor certifies that it is not debarred or suspended
from doing business with any federal or state agency.
