Additional Instructions
ALL DELIVERIES, REGARDLESS OF SIZE, WILL BE FOB DESTINATION.
THERE WILL BE SEVEN (7) DELIVERY DATES PER BID.
THESE DELIVERY DATES MUST BE MET! If any of the items are "special
order", please state so on the bid. If you have had trouble in the past getting
these items, please do not bid them.
NOTIFICATION MUST BE GIVEN TO THE PURCHASING DEPARTMENT AT LEAST 2 DAYS PRIOR TO THE SCHEDULED DELIVERY DATE FOR ANY ITEMS THAT WILL NOT ARRIVE AS SCHEDULLED. IF ANY ITEM ARRIVES UNACCEPTABLE, IT WILL BE RETURNED AND REPLACED AT YOUR EXPENSE.
BIDS WILL BE EVALUATED BASED ON DIETARY RESTRICTIONS AND PORTION SIZE REQUIREMENTS AS STATED IN THE DESCRIPTION FOR EACH ITEM. BRAND NAME, PORTION SIZE AND QUANTITY PER CASE/PACK MUST BE LISTED IN THE COMMENT SECTION OF EACH LINE OF YOUR BID RESPONSE. WHEN THE LINE REQUIREMENT SPECIFIES “PREFERED BRAND OR EQUAL”, THE ALTERNATE BRAND WILL BE SUBJECT TO THE SCRUTANY OF THE DIETARY DEPARTMENT DIRECTOR.
ANY GOODS OR PRODUCTS BID THAT ARE NOT ACCOMPANIED BY A
DESCRIPTION IN THE COMMENT FIELD WILL BE CONSIDERED NONRESPONSIVE.
WE MUST KNOW EXACTLY WHAT PRODUCT YOU ARE BIDDING.
PLEASE KEEP IN MIND THAT IF WE ARE ASKING FOR FAT FREE THAT IS
WHAT WE NEED; LOW FAT OR REDUCED FAT ARE NOT THE SAME AND
WILL MOST LIKELY BE REJECTED FROM CONSIDERATION.
BIDS WHICH DO NOT MEET THE ABOVE REQUIREMENTS WILL BE CONSIDERED
NON-RESPONSIVE AND WILL BE REJECTED FROM CONSIDERATION
FOR AWARD.
CORPORATE PURCHASING CARDS WILL BE USED FOR PAYMENT FOR ALL
ORDERS OF $5000.00 OR LESS PER DELIVERY.
SPRINGFIELD HOSPITAL CENTER RESERVES THE RIGHT TO CANCEL ANY
ORDER AWARDED FROM THIS BID WITH A MINIMUM OF 5 DAYS NOTICE.

COMPANY MAY BE ACCOUNTABLE FOR THE EXCESS COSTS. ADDITIONALLY, YOU MAY BE FOUND “NOT RESPONSIBLE” IN THE CONTEXT OF FUTURE OPPORTUNITIES TO BID ON STATE PROCUREMENTS.
