Shawnee County is soliciting bids for uniform services for multiple county departments.

SCOPE & INFORMATION

Shawnee County is soliciting bids for uniform services for multiple county departments. Our goal is to

ensure that all departments receive quality uniforms that meet their specific needs while maintaining a

consistent and professional appearance.

These services include providing uniforms for employees, ensuring regular maintenance, facilitating

convenient delivery options, accurate invoicing, inventory reporting, and excellent customer service. The

County is looking for a reliable partner who can meet the high standards required to support its diverse

workforce.

The county departments that currently utilize uniform services are:

• Department of Corrections (DF)

• Solid Waste (SW)

• Public Works (PW)

• Facilities Maintenance (FM)

• Treasurer (TR)

• Parks + Recreation (PR)

• Sheriff (SH)

• Health Department (LH)

BACKGROUND:

The previous RFP 024-21 issued in February 2021, and awarded in June of 2021 to UniFirst Corporation.

County’s sum of purchase orders issued annually:

2021: $ 36,266.41

2022: $ 93,810.01

2023: $ 98,562.90

2024: $108,172.52

The following is a listing of uniform items that potential vendors are to provide for both a leased and full-

service apparel program pricing.

Shawnee County will make a selection based on its evaluation of the information provided in the RFP. Each

department will determine which program option will best fit their needs and budget, and shall determine

uniform colors from a selection provided by the successful bidder.

CONTRACT TERM

The successful bidder will be awarded a 3 year contract with an option to extend for an additional 2 years.

SAMPLES

Selected vendors will have an opportunity to show samples as part of the final selection processes.

DELIVERY

The Contractor agrees to meet the County’s requirements for furnishing, maintaining, laundering and/or

cleaning of the uniforms. Such supplies shall be agreed upon as to quantity, quality and frequency of delivery

per department’s request. Uniforms should be replaced when they are no longer professionally presentable

(eg: torn, stained, worn, etc.).

These provisions will be upheld for all County departments.

OWNERSHIP

The County agrees that all items furnished by the Contractor are, and shall remain the property of the

Contractor. The County further agrees to pay for all items damaged, lost or stolen while in the possession,

care, custody or control of the County.

REASONABLE WEAR AND TEAR, INCLUDING GREASE, ROAD OILS AND PAINT ARE

EXCLUDED AND WILL NOT BE THE RESPONSIBILITY OF THE COUNTY.

SIZING/FITTING

The Contractor shall, upon request of the County, have a trained representative call upon departments to

determine sizes. The representative is to call upon the work site within five (5) days after notification and

will make arrangements for the various shift changes of employees involved. This applies to the

commencement of the contract and any sizing requirements for new employees.
