RFP # 26-032 - Public Works Work Clothing

The attention of bidders submitting proposals for the above-referenced project is called

to the following Addendum to the Request for Proposals indicated above. The items set

forth herein, whether of omission, addition, substitution or other change, are all to be

included in, and form a part of the proposed Contract Documents for the work.

Inclusion of this Addendum must be acknowledged in the spaces provided in the

document entitled “Request for Proposals 26-032 - Public Works Work Clothing”.

Failure to acknowledge any and all addenda in the above specified bid form may be

cause for rejection of the bids by the Owner on the grounds that it is not responsive.

This addendum consists of two (2) pages.

Item 1: Questions and Answers:

Q1: Carhartt Weathered Duck Double Front Dungaree, Style #100098 — Upon further research,

this item appears to be discontinued by Carhartt and is no longer available as new, first-quality

merchandise through any wholesale or dealer channel we have been able to identify. The RFP

requires vendors to be authorized distributors of the named brands and prohibits substitutions.

Could the City confirm whether this item is still obtainable through a specific sourcing channel,

or whether an equivalent current-production Carhartt double-front work pant would be

acceptable in its place?

A1: For any bidders who cannot locate Carhartt Weathered Duck Double Front Dungaree, style

100098, the City will agree to accept Carhart item B136 - Loose Straight Washed Duck Double-

Front Dungaree instead.

Q2: Lee Regular Fit Jeans (Lee Straight) and Lee Carpenter Jeans — Lee brand workwear jeans

are distributed through retail channels (Tractor Supply, direct-to-consumer) and are not

available through standard B2B workwear or decorated apparel wholesale distributors. We are

unable to open a wholesale account with Lee/Kontoor Brands for this volume of product. Could

the City confirm the intended sourcing channel for these items, or clarify whether retail-sourced

product at cost-plus pricing would be acceptable?

A2: For jeans, retail-sourced product at cost-plus pricing would be acceptable. This has been the

City’s past practice.

Q3: We are having some trouble with locating some of the items in the jeans section.

I understand that substitutions are not allowed, so I wanted to reach out and see if this is an all

or none bid, or if we are allowed to no-bid on these items.

A3: RFP 26-032 is not set up to split the award between vendors. The use of an Authorized

Distributor as required by the RFP language is not strictly applicable to the jeans or other listed

items (typically pants) as long as they do not require imprinting (see also – Q&A #2 above as well

as addendum #1 to this RFP).
