1. Project Overview
We are seeking competitive bids for 150 Windows-based endpoint units. This procurement is a fleet
refresh aimed at providing a seamless, modern user experience for our workforce. This project will
be executed via a leasing agreement.
2. Innovation & Design Intent
We are looking for modern, "clean-desk" solutions. Proposals should emphasize:
Seamless Connectivity: Efficient cable management and "one-plug" notebook docking.
Modern Features: High-quality displays, biometric security (e.g., Windows Hello), and
energy-efficient performance.
Aesthetic Integration: Professional, cohesive hardware design across both lots.
3. Technical Requirements (Minimums)
Operating System: Windows 11 Pro (Pre-installed)
Memory: 32GB RAM
Processor: Intel Core i7 or AMD Ryzen 7 (Current generation preferred)
Storage: 256GB NVMe SSD
4. Warranty & Support
Lot 1 (Notebooks): Must include a 3-year Accidental Damage Protection (ADP) warranty
with On-site Repair.
Lot 2 (Desktops): Must include a 3-year Next Business Day On-site support warranty.

5. Equipment Lots
Lot 1: Mobile Professional Package (75 Units)
Notebook: 14" to 16" display, integrated webcam, and backlit keyboard.
Docking Station: Single-cable solution (USB-C/Thunderbolt) capable of powering the laptop
and driving two external displays.
Monitors: Two (2) 24" IPS monitors (1920 x 1080 minimum) with height-adjustable stands.
Peripherals: Wireless keyboard and mouse combo, Webcam/Microphone.
Lot 2: Desktop Professional Package (75 Units)
Desktop: Low Profile / Small Form Factor (SFF) or Micro PC.
Mounting: Must include a VESA-compatible mounting bracket to attach the PC directly to the
back of one monitor for a "Zero-Footprint" solution.
Monitors: Two (2) 24" IPS monitors (1920 x 1080 minimum).
Peripherals: Wired or wireless keyboard and mouse combo. , Webcam/Microphone
6. Financial & Leasing Requirements
Our organization intends to acquire these assets through a lease.
Primary Financing: We intend to utilize Dell Financial Services (DFS).
Partner Status: Please explicitly state in your response if you are currently an Authorized DFS
Channel Partner.
Vendor Financing: If you are not a DFS partner or wish to provide an alternative, please
include a 36-month lease quote (Fair Market Value or $1 Buyout) through your own financing
arm.
7. Submission Guidelines
To ensure a thorough evaluation, please provide a response including:
1. Multiple Solutions: Vendors are encouraged to provide multiple hardware solutions if
applicable; however, each must be submitted as a separate, complete bid package.
2. Visuals & Specs: Every proposal must include high-resolution product images and full
technical specification sheets for all hardware components.
3. Line-item Pricing: Itemized costs for all hardware and specified warranties.

4. Confirmation of DFS Partnership: Clarification of status or alternative leasing terms.
5. Estimated Lead Time: Expected duration from order placement to delivery.
