The Town of Banff (the “Town”) invites Proposals from qualified Proponents to enter into a non-exclusive Master Services Agreement for HVAC maintenance, repair, emergency response, and related services at Town facilities. Work under the Agreement may include scheduled preventative maintenance, routine service calls, emergency trouble-call response, troubleshooting, repairs, parts and materials supply, controls support, refrigerant work, and other related HVAC services authorized by the Town.
Submission DetailsProposals must be submitted electronically in PDF format to submit@banff.ca as two separate files: a Technical Proposal and Pricing Proposal. Pricing must not appear in the Technical Proposal. Files should be named “RFP 2026-673-02 – [Proponent Name] – Technical Proposal.pdf” and “RFP 2026-673-02 – [Proponent Name] – Pricing Proposal.pdf.” Submissions must include all required forms and schedules, including the completed Pricing Form. Technical Proposals should not exceed 25 pages, excluding resumes, references, certifications, completed forms, and appendices.
Question Submission DetailsAll inquiries must be submitted by email to the Procurement Contact at submit@banff.ca by Thursday, September 10, 2026, at 16:00 MST, using the subject line “RFP 2026-673-02 – HVAC MSA – Inquiry.” Note: Proponents must not contact or copy other Town staff unless directed by the Town. Phone inquiries are not accepted. Responses, where required, will be issued by Addendum through the posting platform, where applicable.

A mandatory site visit and/or information meeting will be held as follows:
• Date: Wednesday, August 19, 2026
• Time: 09:00 MST
• Meeting Location: Fenlands Banff Recreation Centre, 100 Norquay Road, Banff, Alberta
• Attendance Confirmation: Proponents must confirm attendance by emailing submit@banff.ca and identifying the number of attendees, by Monday, August 17, 2026, 16:00 MST
• Safety Requirement: Safety vests are required for all attendees.
