Description
Subject: The VA National Tele-EEG and Tele-Epilepsy program (NTEEG-EP) is seeking information from industry in order to create a program for the provision of critical ambulatory electroencephalogram (EEG) technical support services for Veterans to address the current challenges of long wait times, especially in geographically remote locations, and the shortage of qualified technical staff infrastructure.
These services will enhance the care and quality outcomes for Veterans through timely and efficient EEG testing services. It is the NTEEG-EP program s intent to create an initial contract encompassing a minimum of three locations, with the possibility for options for additional locations to be added. Current plans are to include Northport New York, Gainesville Florida and Detroit Michigan as initial locations.
The services required involve providing comprehensive EEG recordings at the Veterans home. Certified, trained personnel will set up and acquire comprehensive EEG recordings for a minimum of forty-eight hours in duration, including those with and without video. These may or may not require intermittent monitoring, with or without annotations, clipping and pruning. The service must include contingency measures for redundancy, ensuring operational continuity in the event of inclement weather, staffing challenges, acts of God, or unforeseen interruptions.
The contractor is required to utilize industry-standard protocols to ensure the acquisition of high-quality ambulatory EEG studies to be completed within defined time-sensitive priority standards. The contractor will be responsible for supplying all equipment, materials, and human resources required to have an EEG Technologist follow the American Clinical Neurophysiology Society Guidelines (ACNS).
The contractor must ensure the secure retention and availability of EEG studies to the NTEEG-EP Program via an interoperable interface. This interface must be regularly updated and maintained by the contractor to remain compliant with all relevant standards, including HIPAA and any other applicable security and regulatory requirements.
The contractor must maintain consistent quality and service protocols across applicable regions. This includes ensuring that EEG study quality, turnaround times, accessibility, and platform compatibility are uniform regardless of geographical location. The contractor will be required to provide ongoing support to the NTEEG-EP team, training on the contractor interface programs, and be available to the NTEEG-EP for clinical and operational inquiries to support patient care outcomes.
The initial estimated yearly number of services is approximately 60 per geographic location for initial period. This is not a national contract, it will be managed solely by the NTEEG-EP through Boston HCS contracting office with invoice adjudication by the NTEEG-EP.
