Equipment, and Software Products, # ETC 23022C, as per the attached specifications, terms and conditions.
Proposals will be accepted at the office of Jim Metzger, Region 20 Purchasing Cooperative until 2:00 p.m. Thursday,
June 4, 2026, at which time they will be opened and tabulated for approval by the Executive Committee of the Region
20 Cooperative. Proposals must be plainly marked on the outside of the envelope: SEALED PROPOSAL #ETC

Faxed Proposals will not be considered. By submitting a proposal, vendor certifies to the best of his/her knowledge
that all information is true and correct. All proposals must be sealed and received prior to scheduled opening time at

Proposals must be submitted on the forms provided or proposal may be rejected. Only proposals received by the date
and time specified will be considered. Vendors are invited to be present at the opening of the proposals to be held at
ESC-20, Conference Center Building, 1314 Hines Avenue, on the above date. PRICE, QUALITY, AND
SUITABILITY: It is not the policy of Region 20 Purchasing Cooperative to purchase on the basis of low price alone,
quality and suitability to purpose are taken into consideration. Quote largest possible discounts after all term discounts
have been deducted.
Vendors who do not quote are requested to submit a "notice of no bid on proposal" to Region 20 Purchasing
Cooperative, in writing if they wish to receive future proposals. Failure to do so may result in their being deleted from
our vendor list. Proposals marked "subject to price change" or "price in effect on date of delivery" will not be
considered.
PROPOSAL DISCOUNT FROM LIST PRICE MUST BE GUARANTEED FROM SEPTEMBER 1, 2026 THROUGH

IMPORTANT INFORMATION FOR
COMPLETION OF PROPOSAL
SIGNATURE PAGE, DEVIATION OR COMPLIANCE NOTATION & FELONY NOTIFICATION: (Page 79). All
vendors must complete GENERAL INFORMATION – RESPONDING VENDOR section, ratify with original
signature on appropriate line, and return with proposal or proposal may be considered non-responsive.
DEVIATION FROM PROPOSAL SPECIFICATIONS: Deviations and exceptions from terms, conditions or
specifications shall be described fully, on the vendor's letterhead, manually signed by vendor or authorized
delegate, and attached to the Proposal. Notice of such attachment must be indicated on the Deviation/Compliance
Section of the proposal document. (Page 80). Vendors must list all specifications for item(s) quoted that may differ
from any specifications/brands listed in proposal.
In the absence of such statements, the vendor shall be held liable and the proposal will be accepted in strict
compliance with all terms, conditions and specifications. Vendors are cautioned to avoid making deviations and
exceptions to these specifications which may result in rejection of their proposal. The Executive Committee of the
Region 20 Purchasing Cooperative will be the sole judge to determine if deviations are acceptable in meeting the
needs of Region 20 Purchasing Cooperative members.

Vendor Feedback-
By April 15th of each year Region 20 Purchasing Cooperative must receive a purchased velocity history
report listing the total dollar volume purchased for all co-op members. The total purchases (in dollars) from
September 1st through March 31st for all member districts must be included. This information will be used to
give Region 20 Purchasing Cooperative, its members and vendors a better picture of our purchasing
environment.
