***THIS IS A FORMAL REQUEST FOR PROPOSAL (RFP). Non-electronic and e-mail responses WILL NOT BE ACCEPTED. The response must be submitted in the Supplier Portal no later than the date and time called for in the Finish Time in the Event Details.
PURPOSE AND BACKGROUND. The purpose for this Solicitation (RFP) is to receive responses and award a to contract(s) with a Contractor(s) to provide the Minnesota Commission of the Deaf, DeafBlind, & Hard of Hearing Board and Staff Retreat/ Commission 40th Anniversary Banquet.
DATES: The dates for the conference will be the following selected dates: Preferred: October 3rd -5th, 2025, or Alternative Dates: October 10th - 12th, 2025 or November 7th - 9th, 2025. The estimated number of attendees is approximately 25-35 per day. Day 2 of the conference will host a banquet dinner with approximately up to 300 attendees. The State does not guarantee a minimum number of attendees, lodging rooms or meals. Prices listed on the pricing pages are firm and will not be adjusted if the number of attendees falls below the estimate.
GEOGRAPHICAL LIMITATIONS: The conference facility must be located within 40 miles from St. Cloud State University, 720 4th Avenue S., St. Cloud, MN 56301. Google Maps will be used to determine distance.
CONTRACT TERM. The Contract Term will be from the date of contract execution through February 28, 2026.
SUBMITTING QUESTIONS. The deadline for submitting questions is June 27, 2025, at 12:00 PM Central Time. Questions must be submitted in writing to Rhiannon Fissehaye at Rhiannon.Fissehaye@state.mn.us. All questions received by the cutoff date and time will be responded to via an addendum. SWIFT HELP DESK. Responders needing help with registration or assistance navigating the SWIFT system may contact the Vendor Assistance Helpdesk at 651.201.8100 Option 1, then again Option #1.

2. Attachment B: Exceptions to State's Standard Terms and Conditions
