City of Trinidad Community Center – Ceiling Tile Replacement

1. PROJECT OVERVIEW

The City of Trinidad is soliciting sealed bids from qualified contractors for the replacement of all existing ceiling tiles at the City of Trinidad Community Center, located at 1309 Beshoar Ave.

The purpose of this project is to remove the existing ceiling tiles and provide and install new ceiling tiles throughout the designated areas of the Community Center.

1. SCOPE OF WORK

The successful contractor shall provide all labor, materials, equipment, supervision, transportation, disposal, and incidental work necessary to complete the project.

The scope shall include, but is not limited to:

• Remove all existing ceiling tiles in the designated areas.
• Properly dispose of all removed ceiling tiles and construction debris.
• Inspect the existing ceiling grid and notify the City of any damaged or deteriorated components.
• Provide and install new white, smooth, untextured ceiling tiles.
• Ensure all replacement tiles are properly fitted, aligned, and securely installed within the existing ceiling grid.
• Replace or repair damaged ceiling grid components as necessary, if specifically authorized by the City.
• Protect walls, floors, furnishings, fixtures, and other existing facilities during construction.
• Maintain a clean and safe work area throughout the project.
• Remove all construction debris from the site upon completion.
• Perform final cleanup of all work areas.
• Complete all work in a professional and workmanlike manner.

1. CEILING TILE REQUIREMENTS

Replacement ceiling tiles shall be:

• Color: White
• Finish: Smooth
• Texture: Untextured
• Suitable for installation in the existing ceiling grid.
• New, unused, and free from defects.
• Installed to provide a uniform appearance throughout the completed areas.

Contractors shall verify existing field conditions and ceiling grid dimensions during the mandatory walkthrough prior to submitting a bid.

1. MANDATORY PRE-BID WALKTHROUGH

A mandatory pre-bid walkthrough will be held at the project location:

Contractors are required to attend the walkthrough in order to submit a bid. The walkthrough will provide contractors an opportunity to inspect the existing ceiling conditions, verify measurements, review access requirements, and ask questions regarding the project.

1. BID SUBMISSION DEADLINE

Sealed bids must be received by:

Time: 2:00 PM

Bids received after the deadline will not be considered.

Bids shall clearly identify the contractor's name, contact information, project name, and total proposed contract price.

1. CONTRACTOR RESPONSIBILITIES

The successful bidder shall:

1. Provide qualified personnel capable of completing the work.
2. Furnish all necessary tools and equipment.
3. Coordinate work activities with the City of Trinidad.
4. Maintain appropriate safety practices at the work site.
5. Protect existing City property and facilities.
6. Properly dispose of all construction debris.
7. Obtain any permits required for the work.
8. Complete the project within the schedule established by the City.
9. Correct defective or incomplete work identified by the City.

1. EXISTING CONDITIONS

Contractors are responsible for reviewing existing conditions prior to submitting a bid. Failure to inspect the site shall not be grounds for additional compensation for conditions that could reasonably have been identified during the mandatory walkthrough.

Any questions regarding existing conditions or the scope of work should be directed to the City prior to the bid deadline.

1. ADDITIONAL WORK

No additional work or costs outside the approved scope shall be performed without prior written authorization from the City of Trinidad.

Any proposed change in scope or additional cost must be submitted to and approved by the City before the work is performed.

1. AWARD OF BID

The City of Trinidad reserves the right to:

• Reject any or all bids.
• Waive minor irregularities in bids.
• Request clarification from bidders.
• Select the bidder determined to be in the best interest of the City.
• Cancel or modify the solicitation if deemed necessary by the City.

The lowest bid is not necessarily the sole determining factor in the award.
