Notice is hereby given by the City of Vancouver (“City”) of its intent to contract with Artefactual Systems Inc for the supply and delivery/provision of its Service Renewal.
For a number of years, Artefactual Systems Inc. has provided the City of Vancouver Archives with technical support for the Archives’ Access to Memory (AtoM) open source description software, Archivematica open source digital preservation software and Ubuntu operating system on which the two applications run.
AtoM is a fully web-based, multi-lingual archival description software that was originally commissioned by the International Council on Archives (ICA) to make it easy for archival institutions worldwide to put their archival holdings online using the ICA's descriptive standards. The database at
http://searcharchives.vancouver.ca/
is the front/public-facing end of the Archives’ digital archives preservation and access system, which uses AtoM. The website is accessible to and used by researchers around the world. Behind the scenes is another application called Archivematica. Archivematica is a web and standards-based, open-source application, which allows memory institutions to preserve long-term access to trustworthy, authentic and reliable digital content.
Artefactual Systems Inc. is a Canadian professional services and software development company based in Surrey, BC. Artefactual developed AtoM and Archivematica, and provides technical support and domain expertise worldwide for both applications. Over the years, the company has developed numerous City of Vancouver-specific customizations for the applications that it maintains and updates as well.
For business continuity reasons, the vendor’s lead role in developing and maintaining the applications in the open-source community, the established relationship with the Archives and knowledge of its AtoM and Archivematica instances, and the vendor’s proven track record of excellent service, the City of Vancouver intends to contract with Artefactual Systems Inc. to provide technical support and maintenance for a one-year term for the Archives’ AtoM, Archivematica and Ubuntu operating system installations, including the following services:
Installing upgrades for the listed software running on City servers
Installing updates and security patches as necessary
Providing support for integration between AtoM and Archivematica
Providing support in the event of service disruptions or outages to AtoM and Archivematica
Maintaining custom code developed for COV Archives workflows in AtoM and Archivematica and AtoM integration with RS-SQL inventory management software
Providing consulting service for configuring software and optimizing workflows for specific COV Archives use cases
Providing email and telephone support for troubleshooting
TERM: 1 year
Contract Value: $37,500.00 CAD
