To provide a non-City hosted or “Software as a Service” hosted computerized Box Office Ticketing and Customer Relationship Management system solution with scanning devices to manage all aspects of event ticketing, customer service, and guest experience for the Thousand Oaks Civic Arts Plaza’s Bank of America Performing Arts Center.

Background

The City of Thousand Oaks is located in eastern Ventura County and consists of 56 square miles. The City population is approximately 122,000. The City is a general law city operating under the Council/Manager form of government. The City Council is comprised of five elected members through district-based elections, with one member serving as Mayor on an annual basis.

The Cultural and Community Services Department is responsible for managing the operations of the City-owned Bank of America Performing Arts Center (BAPAC) located at the Thousand Oaks Civic Arts Plaza, 2100 Thousand Oaks Blvd., Thousand Oaks, California. In addition, the Cultural and Community Services Department also operates the Thousand Oaks and Newbury Park libraries, the Thousand Oaks Community Fine Arts Gallery located at the Newbury Park Library, and the Fred Kavli Theatre Gallery and is responsible for providing oversight of the City’s Arts Services and cultural events and activities.

BAPAC serves as a regional performing arts center for Ventura County and the western portion of the Los Angeles Metropolitan Area. BAPAC is comprised of the 1,800-seat Fred Kavli Theatre and 394-seat Janet & Ray Scherr Forum.

BAPAC hosts approximately 250 ticketed events each year drawing in excess of 1 50 ,000 patrons. Tickets are currently sold via the BAPAC box office windows and call center, and Ticketmaster’s website and app. Performances include Broadway-style national tours, popular headline entertainers, musical theatre, family and children’s programming, international ballet, folk and modern dance companies, classical music, choral ensembles, comedy, speakers and lectures, films, jazz, big bands, and a wide variety of community programs and recitals.

Approximately 87% of tickets are sold for events in the Fred Kavli Theatre and 13% for events in the Janet & Ray Scherr Forum.

BAPAC operates as a rental venue with multiple resident companies, a nonprofit in-house presenting organization, and a diverse array of rental clients, including commercial promoters and producers, performing arts organizations, schools, government agencies, and nonprofit and civic organizations. The ticketing needs of the smaller rental clients include the ability to keep ticket prices low and affordable, including service charges related to the sale of the tickets. Many rental clients also require the flexibility to sell consignment tickets directly through their organization, in addition to using discount third party sales outlets such as Groupon /T odayTix. Dynamic pricing, subscription accounts, marketing support, upsells and add-ons (such as pre-paid parking), and discount offer codes are additional functions which are integral to BAPAC operations.

Fundraising has primarily been handled by the Thousand Oaks Alliance for the Arts (TOArts), which is the official nonprofit fundraising organization for BAPAC through a public/private partnership with the City. In addition, TOArts is the City’s nonprofit in-house presenting organization for BAPAC. TOArts operates a membership program and the City may utilize the system to process TOArts donations and membership benefits.

The Box Office Ticketing and CRM System solution will be needed primarily for events and performances taking place at BAPAC, but may also be utilized for events produced and presented by the City at other locations in the community.
