SUBJECT: Notice of Intent to Award Single Source PROJECT: Audio Visual and Controls (AVC) System Testing Services
The City of College Park, intends to award a single source contract for Audio Visual and Controls (AVC)
system testing services.
Intended Vendor: Baker Audio Visual
Estimated Amount: Not to Exceed $45,000
Description of Goods/Services:
The City requires professional testing, evaluation, and validation of its existing Audio Visual and Controls
(AVC) system to ensure proper functionality, performance, and integration with current infrastructure.
Justification for Single Source:
The City has determined that this procurement is appropriate for sole source due to the unique qualifications
and existing system knowledge held by the intended vendor.
Baker Audio Visual is the original installer of the AVC system at this facility and maintains access to the as-
built documentation. This enables the vendor to perform remote system evaluation and diagnostics, resulting
in increased efficiency and reduced project costs.
Market research was conducted, and other vendors were contacted. Responding vendors indicated a
requirement for as-built documentation to evaluate the system. The City cannot verify that complete
documentation is available for third-party use, which may result in additional on-site assessment, increased
costs, and potential delays.
Utilizing an alternate vendor would likely require extensive system review and possible re-documentation,
introducing risk of incompatibility with existing infrastructure and reduced efficiency. Based on these factors,
Baker Audio Visual is considered the only vendor capable of providing the required services in a cost-
effective and timely manner.
This notice is being posted for a minimum of seven (7) calendar days. Any vendor who believes they are
capable of providing the same or equivalent services may submit a written statement of capability.
