DBH - Milestone Server Software Installation Services

The Ohio Department of Behavioral Health (DBH) - Summit Behavioral Helathcare Hospital (SBH) is soliciting dealers for the installation services of the latest version of Milestone Software onto our new servers.

DBH currently operates the Milestone video management system across one (1) management server and four (4) recording servers. The management server and one (1) recording server have been identified for replacement and will be upgraded to new hardware. All new hardware will be provided by DBH and will adhere to Milestone’s published specifications, please see below.

SERVER SPECIFICATIONS
MANAGEMENT SERVER

DBH will provide the updated Milestone licensing that supports the latest available software release. Through this solicitation, we are seeking a qualified supplier to provide professional services to perform the following:

1. Pre-Deployment Planning
2. Installation and Configuration
   Install the latest Milestone software version on the two newly procured servers (management server and recording server), ensuring full compliance with Milestone requirements and best practices.
3. System Migration
   Conduct a complete migration of all configurations, databases, recordings, and functional components from the existing management server and the designated recording server to the new hardware. The vendor will be responsible for validating system integrity and ensuring uninterrupted operational performance during and after migration.
4. Software Upgrades on Existing Servers
   Upgrade the Milestone software on the remaining three (3) existing recording servers so that all components of the system operate on the latest approved version.
5. Post‑Implementation Verification
   Perform comprehensive testing to confirm successful installation, migration, and system upgrades across all five servers. The vendor will be responsible for providing documentation of the completed work and confirming full system functionality.

The Ohio Department of Behavioral Health (DBH) will award this project to the lowest-cost responsive and responsible supplier. The awarded supplier must include all applicable costs for delivery, setup, and warranty in their submission.

Substitutions are not permitted unless explicitly authorized within the solicitation documentation.

All pricing must be clearly entered into the OhioBuys item grid. If a separate quote is submitted, the total must exactly match the amount listed in the item grid. Discrepancies may result in disqualification.

DBH reserves the right to purchase up to the full quantities specified in the sourcing project.

Important: All vendor inquiries must be submitted exclusively through the Inquiry Field in OhioBuys. Questions submitted through other channels will not be considered.

In the event of a tie bid, the sourcing project will be awarded to the first valid bid received by the date and time stamp in OhioBuys.

A statement of work (SOW) is required for this solicitation if an SOW is not provided, outlining the above requirements, it may result in disqualification.
