PART 1 - GENERAL

1.1 REQUEST FOR PROPOSALS

A. Muskegon Area ISD is requesting proposals for a Conference Rooms Refresh

(“RFP”). Bidders shall provide, install, configure, test and commission fully operational

Conference Rooms with a technology package suitable for both onsite and hybrid

engagement.

B. A complete list of the buildings (“Sites”) is provided in the schedule of values at the

end of this document.

1.2 DUE ON OR BEFORE 12:00 PM (local time) on January 9 2025 (“Due Date”), the Owner

will receive bid proposals for the project. The Owner will not consider or accept a bid

proposal received after the due date for bid proposal submission. All bid proposals received

after the due date will be returned by making them available to the respective Bidder,

unopened, for said Bidder to pick-up at their sole cost and expense. Bid proposals shall be

1.3 PROPOSALS/QUOTES

A. One (1) “hard” copy and one (1) “soft” (electronic) copy on a USB “flash” drive of the

proposals are to be submitted in sealed packaging, clearly marked: “Conference

Rooms Refresh” for school district and shall be identified with the Bidder’s name and

address and the date and time of the bid proposal opening. The Owner is not

responsible for any postal or delivery delays. No email, facsimile or other electronic bid

proposals will be accepted.

B. Bid Opening will happen at the MAISD Administration Building at 630 Harvey Street,

Muskegon MI 49442 at 1:00 PM on January 9, 2025.

1.4 PROPOSAL FORMAT

A. The bid response shall be structured as follows:

Section 1 – Submittal Letter and Executive Summary

Section 2 – Pricing Sheet

Section 3 – Narratives, System Description, Information, and Brochures

Section 4 – Bidder References

1.5 WITHDRAWAL OF BID PROPOSALS/QUOTES

A. All bid proposals submitted shall not be withdrawn and shall be irrevocable for a

minimum period of sixty (60) calendar days following the due date for receipt of bid

proposals set forth above.

1.6 REQUEST FOR CLARIFICATION

A. Bidders may request that the school district clarify information contained in this RFP. All

such requests must be made in writing via email to Jeff Fielstra, Muskegon Area ISD, at

jfielstra@muskegonisd.org.

1.7 SCOPE OF WORK

A. Install location 1 - ESC North, 630 Harvey Street, Muskegon, MI 49442

a. Executive Summary - Great Lakes (Huron and Superior Conference

Rooms):

The 2-way divisible conference room will operate as two separate rooms

when divided and as one larger room when combined. The conference

rooms will feature a comprehensive video conferencing setup,

prominently featuring a Cisco Codec EQ. A PTZ camera positioned at the

rear of the room will handle video pickup of a presenter. Audio pickup will

be managed by a ceiling microphone array, one lavalier, and one

handheld microphone. Ceiling speakers will facilitate playback of content

and far-end audio.

The installation of the Cisco Room Navigator ensures seamless native

video conferencing through the Webex platform. Scheduled meetings are

conveniently displayed on the panel, featuring a one-touch "push-to-join"

button. This allows meeting participants to effortlessly join with a single

press, enhancing the accessibility and efficiency of the conferencing

process. Users can easily adjust meeting settings, mute/unmute, share

content, and control the camera directly from the intuitive interface,

providing a comprehensive and user-centric control experience.

c. Clarification of Work

i. Two (2) 98” flat panel displays will be installed at the front of and

two (2) in the rear of the Lake Huron room, and two (2) on the

west end and one (1) on the north end of the Lake Michigan room,

for a total of Seven (7) to show content and far-end video.

ii. Vendor will construct a structure to mount the two (2) 98” displays

over the windows in the room with the equipment rack.

iii. One (1) Cisco Codec EQ for each room will be provided to

facilitate video conferencing.

iv. Note – the customer is responsible for providing the Webex

licenses and commissioning the Cisco equipment.

v. One (1) Cisco 4K PTZ Camera installed on the ceiling in each

room will provide video pickup of presenters at the front of the

room.

vi. Two (2) ceiling microphones, one (1) in each room, will be

provided for the audio pickup of conference participants located in

the conference room.

vii. One (1) wireless lavalier and one (1) handheld microphone will be

provided for each room (4 total). These microphones will be used

for voice lift in the room as well as sending audio to the far end

participants.
