Service Period: October 1, 2026 – September 30, 2027 Prepared for: Alabama Supercomputer Authority Prepared by: Logan Burgess and Michael Frazier Date: 09/02/2026 Address: 686 Discovery Drive, Huntsville, Alabama 35806 Site Visit Required Date: 09/08/2026 8 A.M. to 3:30 P.M. 1. Overview The contractor shall perform semi-annual preventive maintenance (2 scheduled visits per year) for the existing security camera system and access control system at 686 Discovery Drive, Huntsville. This includes inspections, cleaning, testing, firmware/software updates, and system health checks. 2. System Summary - CCTV Cameras: 32 Speco-brand IP and/or analog cameras - DVRs: 2 Speco DVR units - Access Control Points: 40 doors controlled via WinDSX software - Software Platform: WinDSX Access Control System 3. Site Visit Requirement All maintenance services must be performed on-site at Alabama Supercomputer on 686 Discovery Drive, Huntsville. 4. Scope of Work A. CCTV System – Speco Cameras & DVRs Frequency: Twice per year - Clean camera lenses and enclosures. - Inspect all 39 cameras for damage, focus, positioning, and operation. - Verify image quality, night vision (IR), and frame rates. - Test each of the 3 DVRs for recording functionality, storage capacity, and retention settings. - Ensure cameras are recording properly and accessible via local and/or remote viewing interfaces. - Confirm time synchronization across all DVRs and cameras. - Apply firmware/software updates to Speco DVRs and IP cameras as available and recommended. - Identify any failed or degraded components and report for corrective action. B. Access Control System – WinDSX Frequency: Twice per year - Inspect and test 40 access control points (readers, door strikes, REX devices, door position switches). - Verify operation of door schedules and event logging. - Confirm credential access is working properly and reflected accurately in the WinDSX system. - Test battery backup and power supplies at all control enclosures. - Check all control panels and cabling for damage, corrosion, or interference. - Perform WinDSX software and firmware updates (server and field panels). - Validate that controller logs are error-free and fully communicating with software. - Provide guidance on any available system enhancements or efficiency improvements. 5. Deliverables For each visit, the contractor shall provide: - Maintenance report detailing services performed - Summary of operational status and any issues found - List of software/firmware updates applied - Recommended repairs, replacements, or improvements need to be quoted and provide to building manager or building administrator - Confirmation of system health (all cameras, access points, DVRs reporting and operational) 6. Response Time & Support - Non-emergency support: Response within 2 business days - Emergency support (system outage or breach risk): Response within 4 hours - Support available by phone and email Monday through Friday, 8:00 AM – 4:00 PM (CST) 7. Contractor Qualifications - Technicians must be certified in installation and support of WinDSX and Speco systems - Must carry current general liability and workers’ compensation insurance - Proof of Security Certifications -Background checks must be conducted on all personnel accessing the premises 8.
