Request for Proposals for Supply and Delivery of Janitorial Supplies, Paper Products, Equipment and Related Services

The AESO is seeking supply of Janitorial Products and Equipment for a period of three (3) years starting December 1, 2026 and ending November 30, 2029, with an option to extend for two additional one (1) year terms.
These services include, but are not limited to: the supply and delivery to the AESO of hygiene and janitorial supplies, paper products, equipment and related services.
Delivery services will be to 2 separate locations within the Calgary City limits.

The Proposal:
1.        Must be delivered by email to facilitiestenders@aeso.ca by or before the Submission Deadline. The electronic submission must be fully transmitted and fully received by the AESO prior to or on the Submission Deadline;

2.        Format: The electronic copies should be provided in pdf formats with an additional copy of the Prescribed Form – Pricing in Excel Format. The complete Proposal shall be submitted with the following separate files:
(a)        complete Proposal in one file
(b)        Prescribed Form – Cost in Excel Format

3.        Must be in English. If and to the extent all or any portion of the Proposal is not in English, such Proposal shall not be automatically disqualified by virtue of such non-compliance alone, but the AESO will remove the portion of such Proposal which is not in English and such portion of the Proposal will not be considered or evaluated by the AESO (and as a result of such removal and non-evaluation, such Proposal may be disqualified if it does not meet the requirements of this RFP);

4.        Must include original or pdf format signature pages of any and all Prescribed Forms and other submissions requiring the signature of an individual whether in his or her own capacity or on behalf of an entity;

5.        Should be clearly subject titled “[Bidder’s Name] – Request for Proposals – Supply and Delivery of Janitorial Supplies, Paper Products, Equipment and Related Services”;

6.        Should include the Prescribed Forms and other information and documents to be provided by the Bidder as specified below, and as otherwise set out in this Part B. For clarity, forms stated to be mandatory elsewhere in the RFP must be provided;

7.        Must use Canadian Dollars when providing financial information and when providing fees and pricing for the Proposal;

8.        Should include page numbers on each page except where the format of such document precludes the use of page numbers;

9.        Should ensure that Prescribed Forms are substantially complete and submitted in the required format, either Excel format, Word format, or as PDF documents created from Word documents;

10.        Should be prepared having regard to the RFP, including the definitions set out in Part B, Appendix A of this RFP;

11.        Should not exceed 50 pages in length, excluding any necessary attachments; and

12.        The following files must be submitted:

Appendix C, Prescribed Form: Capability and Experience Narrative
Appendix D, Prescribed Form: Costs
Appendix E, Prescribed Form: Response to Terms
Appendix G, Confirmation of Receipt of Addenda
