HVAC Planned Service Agreement for our locations at WDC

Renewal Dates: 12/1/25 – 11/30/26

Service Delivery – Local customer service agent responsible for the agreement scope and our facility procedures and protocols.

• Scheduling – Preventative maintenance service

• Emergency Services – Provide 7 days a week, 24 hours a day, 365 days a year.

o During normal business hours, emergency service will be coordinated by the customer service agent.

o After hours, weekends, and holidays, emergency service numbers should be available to vendors to contact after-hours call center and on-call technicians are dispatched as needed.

• Communication – Detailed communication plan should be provided along with main contacts.

• Approval process for non-covered items

o No work will be performed outside of the agreement scope without prior approval

Summary of services and options

• During comprehensive and operational inspections, vendors will perform routine checks of the equipment for common issues caused by normal wear and tear on the equipment.

• Routine Maintenance, such as lubrication, cleaning and tightening connections.

• Install Updates supplied with Software Subscription

o Install software upgrades to keep the system up to date.

• Metasys Software Subscription

o Provide the most recent software release allowed by the hardware and operating systems of existing computers and servers for the number of years specified.

• Customer Portal / Service Information Access
